Summary

The Accounting Specialist is responsible for compiling payroll data to maintain payroll records while supporting various administrative functions, including Accounts Payable, Accounts Receivable, Operations Administration, and Human Resources Administration. This role ensures accuracy and compliance in payroll processing and financial documentation.


Essential Duties and Responsibilities

  • Compile and record payroll data such as hours worked, taxes, insurance, and union dues.
  • Calculate and record prevailing wages when applicable.
  • Input and manipulate payroll data in Excel to ensure clarity and accuracy.
  • Review and correct payroll spreadsheet errors.
  • Enter data into the Paychex Portal and process certified payroll reports for construction projects and union reports.
  • Record and update master payroll records, including changes affecting net wages.
  • Review Paychex paychecks/paystubs and verify unemployment claims.
  • Calculate and maintain employee and employer contributions to the 401(k) and manage related reporting.
  • Maintain spreadsheets related to Union Health and Welfare, vacation, and holidays.
  • Enter and transmit 401(k) contributions via the VOYA Portal.
  • Create and submit journals in QuickBooks, such as VOYA 401(k), Paychex Payroll, and EFT.


Qualifications

  • Associates Degree or a minimum of 5 years' experience in the accounting field.
  • Strong payroll experience, preferably with Paychex.
  • Proficiency in Excel for creating and manipulating custom spreadsheets.
  • QuickBooks experience is a plus.
  • Experience in construction accounting and union payroll is preferred.
  • Ability to write and communicate professionally.
