Role Description
The Legal Assistant is a full-time, on-site role based in Jacksonville, FL. This position supports the company’s legal and real estate operations by preparing and organizing legal documents, leases, contracts, and corporate records. Daily responsibilities include maintaining files, managing calendars, coordinating signatures, and assisting with document review and revisions. The Legal Assistant will communicate with internal teams, outside counsel, tenants, and vendors to gather information, track deadlines, and ensure timely completion of legal tasks. The role also involves general administrative support such as drafting correspondence, scheduling meetings, and helping maintain compliance and accurate documentation for the firm’s property portfolio.
Main Tasks
- Draft complaints, summonses, defaults, motions, and related pleadings
- E-file all court documents upon attorney approval
- Coordinate with Judicial Assistants, court clerks, opposing counsel, and process servers
- Manage service of process for tenants and guarantors
- Send service copies of filed pleadings via USPS
- Maintain digital case files for all active litigation matters
- Maintain Case Notes and Lawsuit Filings & Drafts tracking spreadsheets
- Calendar all court deadlines, response deadlines, hearings, and compliance dates
- Prepare and transmit final judgments to collections counsel and obtain certified copies when required
Qualifications
- Knowledge of law and legal processes relevant to real estate or commercial contracts
- Strong skills in legal document preparation, including drafting, formatting, and organizing agreements
- Effective communication skills for coordinating with attorneys, team members, tenants, and external partners
- Proficiency in administrative assistance, including calendar management, file organization, and data entry
- Prior experience in a Legal Assistant or similar legal support role
- Attention to detail, ability to manage multiple deadlines, and strong organizational skills
- Proficiency with office software (e.g., Microsoft Office, document management systems)
- Associate’s or bachelor’s degree in paralegal studies, legal studies, business, or a related field preferred
- Experience in real estate, property management, or commercial leasing is an advantage
