Document Control Specialist – Role Description
This is a full-time on-site role for a Document Control Specialist, based in the San Francisco Bay Area. The position is ideal for candidates with strong organizational, quality, and records management skills who are passionate about supporting a high-performing engineering and regulatory environment.
The Document Control Specialist will be responsible for managing and maintaining Hadron Energy’s document control systems, ensuring the accurate creation, revision, distribution, and archiving of controlled documents across engineering, licensing, and quality assurance functions. This individual will play a critical role in ensuring compliance with NRC, DOE, and ASME NQA-1 requirements as Hadron progresses toward reactor design certification and commercial deployment.
You will work closely with engineering, quality, and licensing teams to maintain an organized and auditable documentation framework—supporting traceability, regulatory compliance, and operational excellence across the organization.
Responsibilities
- Maintain and administer the company’s document control system, including creation, revision, review, and approval workflows
- Ensure compliance with document retention, version control, and recordkeeping requirements under NQA-1 and NRC-regulated frameworks
- Assign document numbers, track revisions, and control access to technical and regulatory documents
- Coordinate the collection, organization, and distribution of documents for NRC submissions, audits, and internal reviews
- Support internal and external audits by providing document traceability and retrieval support
- Manage controlled templates, forms, and records for engineering drawings, procedures, and specifications
- Work cross-functionally with engineering, QA, licensing, and operations teams to ensure consistent document management practices
- Assist in maintaining SharePoint, OpenText, or other electronic document management systems (EDMS)
- Provide training and guidance to employees on document control processes and standards
- Support configuration control, ensuring that only current and approved documents are used across all departments
- Maintain secure storage and archival of controlled records, both digitally and physically
Qualifications & Skillsets
- Bachelor’s degree in Business Administration, Engineering, Quality Management, or a related field (or equivalent experience)
- 3–7 years of experience in document control, configuration management, or quality assurance within energy, manufacturing, or nuclear industries
- Working knowledge of NQA-1, ISO 9001, or equivalent quality management systems
- Experience with document control software or EDMS platforms (e.g., SharePoint, OpenText, MasterControl, or equivalent)
- Strong understanding of version control, approval workflows, and records management principles
- Detail-oriented with excellent organizational and time management skills
- Ability to maintain confidentiality and manage sensitive regulatory or proprietary information
- Strong communication and interpersonal skills to coordinate across multiple departments
- Familiarity with NRC or DOE documentation practices is preferred
- Passion for supporting high-quality engineering and compliance processes that enable the future of clean energy
Salary : $80,000 - $190,000
