OVERVIEW
An Administrative Assistant at Habitat for Humanity Susquehanna serves as the operational backbone by providing comprehensive support as needed. They manage daily clerical functions and support vital departments—such as construction, acquisitions, development, communications, and board of directors—to support Habitat for Humanity Susquehanna’s mission and goals.

KEY DUTIES AND RESPONSIBILITIES:
- Front Office & Reception: Acting as the first point of contact, greet visitors, manage the main organizational emails, and handle incoming/outgoing mail.
- Database & Records Management: Update and maintain a clean and accurate donor/volunteer database (e.g., Charityproud) and departmental SharePoint files.
- Administrative Support: Perform general clerical duties. Assist staff with data entry, scanning documents, filing, and photocopying. Accurately prepare correspondence. Keep all registrations and licenses current.
- Office Operations: Maintain office supplies, and coordinate equipment and building maintenance.
- Board of Directors: Handle board meeting logistics.
- Construction Department: Assist with file organization, building permits, utility applications, and warranty service requests.
- Development: Prepare timely thank you letters and other correspondence as needed. Assist with fundraising event coordination and any bulk mailings.
- Communication & Marketing: Maintain Constant Contact email lists.
- Other duties as assigned.
QUALIFICATIONS:

· Communication Skills: Superior communication and interpersonal skills. Able to work with diverse clients while showing respect, kindness, compassion, and empathy; and professionally interact with donors, volunteers, and the public. Exceptional writing and proofreading skills.
- Organizational Skills: High attention to detail and accuracy, exceptionally organized, able to plan and multitask multiple projects and priorities, and strong time management skills.
- Teamwork: Able to collaborate effectively as part of a team and communicate clearly with all levels of the organization.
- Computer Proficiency: Strong working knowledge of Microsoft Office Suite. Experience with Charityproud CRM database is a plus.
- Personal Skills: Highest level of integrity and moral character. Positive personality, attitude, and professionalism. Able to work both independently and collaboratively. Self-motivated and able to meet goals without direct supervision. Adaptable, flexible, and able to adjust priorities. Able to maintain confidentiality of sensitive family information.
HIRING REQUIREMENTS:

- High School Diploma, Associate degree preferred
- Two years of general office experience
- Demonstrated proficiency in grammar and writing skills
- Previous nonprofit experience preferred
- Experience working in a construction related industry is a plus
- Able to successfully pass a credit and background check
- Able to lift 25 lbs. (cases of paper)
- Valid in-state driver’s license and reliable transportation
WORKING CONDITIONS:
· Hybrid workplace: Corporate office and some work from home
· May work some evenings and weekends
· Some travel to construction sites, community partners, and events
