Job Summary:

The Community Engagement Coordinator will report directly to the Development Director.

This position will assist with event planning (e.g., the Annual Building a Stronger Habitat for Humanity – BASHH fundraiser, Family Fun Day, Volunteer/Donor Appreciation dinner) and be responsible for cultivating and expanding donor relationships, especially with mid- and base-level donors.

This position works directly with the Homeowner Services Director and Qualified Loan Originator (QLO) to orient and mentor Habitat Partner Families.

This position actively recruits volunteers for specific roles on-site and off-site (e.g., construction work crews, office volunteers) and for the ReStore.

The position is responsible for maintaining records of all volunteers and their skills, and ensuring all volunteers are recognized and appreciated. This position includes added administrative duties as assigned.

This position creates a welcoming, safe, inclusive, and mission-centered volunteer experience from initial inquiry through follow-up, with an emphasis on retention and continued involvement.

Essential Duties and Responsibilities and Expectations:

Fundraising

· Contribute to strategy development and implementation

· Supporting/assist the Development Director in management and maintenance of donor database, including data entry and gift acknowledgment

  • Prospect, outreach, and stewardship of corporate sponsors/community partners
  • Outline corporate sponsor packages/levels and benefits; ensure benefits are met

· Support and participate in Fundraising events

· Plan and execute BASHH and Family Fun Day and the annual Volunteer/Donor Appreciation dinner

o Work with the Development Director to secure sponsorships as needed

Communications

· Manage the organization’s social media outreach

· Manage and work with the appropriate parties to maintain the organization’s website.

· Develop and publish regular print and electronic newsletters.

o Monthly UPdate e-blast to be sent out to the network of volunteers and interested parties.

· Responsible for photojournalism for the affiliate.

o Takes job site photos throughout the construction phases from excavation to dedication.

o Takes photos or arranges for photos to be taken of Habitat-affiliated events.

o Transfers photos to the Habitat computer network in a timely manner and is responsible for maintaining the historical memory of the affiliate.

Outreach

· Recruits volunteers for the construction job site, the ReStore, the office, and committees.

· Responsible for recruiting committee members and conducting orientation with anyone wanting to become a regular volunteer.

· Organizes work schedules for work groups in coordination with the Construction Supervisor.

· Acts as a liaison between volunteers and the Construction Supervisor.

· Develops a working knowledge of Habitat construction activities and communicates site expectations, safety requirements, and day-of information clearly to volunteers.

o Must be available on job site or arrange for someone to be on site at the beginning of each construction workday to greet volunteers.

o Responsible for setting up the volunteer trailer with snacks and beverages.

o Arrange lunches for work crews. Ensures the volunteer trailer is cleaned up and all food/beverage equipment has been put away after lunch.

o Purchases and keeps supplies organized as needed: paper products, cleaning products, hand sanitizer, coffee, water, ice, etc.

o Job Trailer needs to be kept clean and orderly. Stored food needs to be used or discarded as quickly as possible after storage.

o Maintain well-stocked and up-to-date first aid kits at the Job Site.

o Responsible for regular communication with the volunteer Crew Leaders about the construction schedule.

· Work closely with the ReStore General Manager to determine the volunteer needs of the store and actively recruit for those positions.

· Work closely with Administration/Program staff to determine the needs for additional administrative assistance or front office receptionist help.

· Work closely with management to recruit for volunteer needs to create successful fundraising events.

· Form and strengthen relationships and partnerships with community groups to solicit and obtain volunteers. For example, Local universities, businesses, churches, service clubs, etc.

o Work with community partners to secure donated lunches for the construction site.

· Attend Volunteer Network meetings and/or other groups determined to be important to furthering the knowledge and connection to community groups.

· Attend and participate in planning for all Habitat-related activities (i.e., Annual Meeting, wall-raising ceremonies, Dedications, Fundraising Events, etc.).

· All groups from any organization, including community service labor, are required to sign in and out utilizing the current volunteer system.

· Responsible for the database software management of volunteer information, including but not limited to volunteer hours and advertising volunteer opportunities, by utilizing the chosen software of Habitat for Humanity Mid-Yellowstone Valley along with external software provided by organizations such as but not limited to United Way and Just Serve.

o Volunteer/group hours must be kept and reported monthly and annually

· Track volunteer recruitment, participation, retention, outreach activities, and other engagement measures to evaluate and strengthen community engagement efforts.

o Volunteer hour reports should be available and sent to the organization upon request.

o Responsible for reporting sweat equity hours of the partner families to the Homeowner Services Director QLO.

· Ensures all volunteers are thanked for their contributions. This includes updating the volunteer database, sending follow-up invitations to house dedications, and undertaking periodic thank-you campaigns.

· Gathers volunteer feedback, identifies opportunities to improve the service experience, and develops strategies that encourage volunteers and groups to return.

· Responsible for the distribution, collection, and filing of liability waivers.

o Works with the appropriate staff member or performs background checks on all regular volunteers.

o Ensures all regular volunteers complete a liability waiver once every year.

Office

· Works directly with the Habitat for Humanity Mid-Yellowstone Valley Partner Families.

o Acts as a liaison between the Partner Families, the Construction Supervisor, and the Homeowner Services Director QLO.

o Communicates with the Partner Families on a weekly basis regarding the availability of construction and ReStore opportunities for sweat equity.

o Ensures the Partner Family is set up and appropriately using the affiliate’s chosen software for tracking sweat equity.

o Provide the Homeowner Services Director QLO monthly sweat equity reports.

· ALL accidents must be reported via an Accident Report Form. It is the responsibility of the person who witnessed the accident (staff member or responsible volunteer) to write the accident report. The original is given to the Executive Director for review. The report is then sent to the Community Engagement Coordinator, who maintains the records in accordance with the retention policy.

· A Monthly Report of activities and accomplishments is required to be completed and delivered to the Development Director by the date and time requested.

· Criminal background check required

· Other duties as assigned.

Minimum Qualifications (Experience/Education):

  • Bachelor’s Degree or equivalent training in a relevant field of study such as Communication, Social Services, Non-Profit
  • Minimum of 1 to 3 years of job-related experience is required; or equivalent combination of education and training to fully meet the requirements of the position.

A valid Montana driver’s license and a good driving record are required.

Competencies or Knowledge, Skills and Abilities (KSA’s):

  • Must have firm working knowledge of practices and procedures and ability to apply them in varied situations.
  • Intermediate technical skills are required to allow the employee to adapt and meet some complex or non-routine situations.
  • Advanced Project/Process Management skills are needed to organize the planning process. Develop detailed project schedules, including tasks, accountabilities, and deadlines. Anticipates problems that may impede work. Communicates changes and progress.
  • Intermediate computer skills are necessary to use word processing and data entry tools, and to develop spreadsheets and presentations.
  • Must have intermediate Office/Administrative Support skills: drafts, edits, and proofreads internal and external correspondence. Files department data and ensures files are organized. Perform data entry. Schedule meetings and appointments. Maintains and updates calendar(s) as appropriate.
  • Must be skilled in basic record keeping using Microsoft Office software programs.
  • Proficiency in operating all common office equipment is required.
  • Exhibits teamwork with other staff, volunteers, and/or help.
  • Must demonstrate outstanding customer service by listening to the customer's issue and communicating in a clear and professional manner.
  • Strong written and verbal communication skills are required, including public speaking, group facilitation, and active listening with people from diverse backgrounds.
  • Must be skilled in the fundamental exchange of routine, factual information and/or answering routine questions; and the exchange of detailed information or resolving varied problems.

· Must be able to appropriately handle sensitive and/or confidential information.

· Must be able to identify needs/concerns of others, determine potential solutions, resolve or redirect appropriately.

· Ability needed to persuade, gain cooperation and acceptance of ideas, or collaborate on work projects.

· Demonstrates ability to develop and maintain relationships to enhance workflow and work quality

Physical Demands & Working Conditions:

· Work involves both outdoor and office environments. In the office environment, the employee is protected from weather conditions and contaminants, but not necessarily from occasional temperature changes.

· While working outdoors, the employee may not be protected from weather conditions.

· Must be willing to work on active residential construction sites, navigate uneven terrain and unfinished structures, wear required personal protective equipment, follow all site safety procedures, and actively support volunteers in a hands-on environment.

· Employee is regularly exposed to on-street driving and moving vehicles.

· Physical demands require nearly continuous hearing, listening, talking, and lifting up to 30 pounds.

· Requires frequent sitting, repetitive hand motions (such as keyboarding), standing, walking, bending, stooping, climbing stairs, and pulling and pushing objects.

· Employee must occasionally climb ladders, kneel, squat, crouch, balance, reach overhead, use a shovel, and lift up to 50 pounds.

· Requires close attention to detail with frequent deadlines and internal and external social interaction.

· Work hours are generally Tuesday through Saturday, 8 AM to 4 PM, and may include early morning and/or evening meetings and events.
