We are seeking an organized and detail-oriented Legal Assistant / Paralegal to support our firm. The ideal candidate is a self-starter, resourceful, and capable of managing a variety of legal, administrative, and client-facing responsibilities.
Role Description
The ideal candidate is someone who enjoys being an integral part of a small, collaborative law firm. They take ownership of their work, are highly organized, communicate professionally with clients and colleagues, and can confidently manage legal and administrative responsibilities with minimal supervision.
Responsibilities
- Draft, revise, proofread, format, and prepare legal documents, correspondence, contracts, closing documents, estate planning documents, pleadings, discovery materials, and other legal documents from audio files, templates, forms, and attorney instructions.
- Answer and direct incoming telephone calls, assist with client intake and onboarding, and provide general administrative support to ensure the efficient operation of the firm.
- Manage and maintain case files, transaction files, closing binders, exhibits, and other legal records, including document collection, organization, tracking, and filing in both electronic and physical formats.
- Support attorneys in corporate, real estate, estate planning, estate administration, and litigation matters from inception through completion.
- Monitor and track deadlines, court dates, closing requirements, and other critical dates to ensure matters progress efficiently and on schedule.
- Assist with the preparation and coordination of real estate transactions, including review of title reports, municipal searches, due diligence materials, and resolution of title issues through communication with title companies, lenders, municipalities, surveyors, and opposing counsel.
- Assist with litigation support activities, including court filings, discovery, service of process, document management, and preparation for hearings, mediations, depositions, and trials.
- Communicate professionally with clients, courts, title companies, opposing counsel, and other third parties to obtain information, coordinate matters, and facilitate transactions.
Qualifications
- 5 years of experience as a legal assistant or paralegal required.
- Excellent typing and document formatting skills.
- Familiarity with New York State court procedures, e-filing systems, and litigation document management is a plus.
- Must be a self-starter, with strong attention to detail and organizational skills.
- Ability to manage multiple matters simultaneously.
- Professional written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Outlook, Excel) and document management systems.
- Experience with litigation, real estate transactions, title review, trusts and estates, corporate law, preferred but not required.
- The hourly rate for this role ranges between $28-$30/hour.
