Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing outstanding customer support with professional phone etiquette.
- Oversee calendar management and schedule appointments for staff and executives, ensuring optimal time utilization.
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, maintaining organized filing systems both digitally and physically.
- Perform clerical duties including proofreading documents, filing records, and managing correspondence to support office efficiency.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and process invoices.
- Support office management activities by coordinating supplies, maintaining equipment, and ensuring the workspace is organized and functional.
- Provide administrative assistance as needed, including personal assistant responsibilities, medical or dental receptionist duties, and supporting team members with various projects.
Experience
- Proven experience in an office environment with strong clerical or administrative responsibilities.
- Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity tools.
- Experience handling multi-line phone systems and providing excellent customer service in person or over the phone.
- Familiarity with data entry procedures, filing systems, and basic bookkeeping using QuickBooks or similar software.
- Knowledge of HIPPA laws.
- Prior experience as a front desk coordinator, medical or dental receptionist, or personal assistant is preferred.
- Experience using an EHR sytem to check clients into their appointments, take payments and etc.
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively in a busy office setting.
