The Opportunity Role:

H M Communications is looking for a Finance Operations Coordinator to join our dynamic agency of professionals. This individual’s organizational and communication skills, along with their attention to detail and ability to handle multiple tasks at one time are critical to the success of the agency.


In this role, the Coordinator will work in close partnership with the Senior Director of Finance Operations alongside the senior leadership team consisting of the Chief Executive Officer/President; Chief Strategy and Creative Officer/Partner; and EVP/Chief People Officer to ensure proper operation for the organization.


The individual who steps into this role will work remotely from their home office in Los Angeles, and they will be asked to regularly support office needs at the H M Communications West Hollywood office location.

Core Responsibilities:

The Coordinator candidate will be expected to deliver on several primary responsibilities, which may change and evolve based on agency responsibilities that are needed. Core responsibilities expected for this position include (but are not limited to) the ones listed below.


Finance:

  • Support with accounts payable including keeping track of vendor files and vendor invoices, inputting data in Quickbooks, making payments, and verifying payments.
  • Reconcile expenses incurred by the agency internally and for clients.
  • Work with teams regularly to manage and monitor project budgets.
  • Assist in maintaining account receivables including generating invoices and tracking client payments.
  • Support agency set up with clients’ accounting departments for business operations.
  • Assist in preparing materials for the CPA and tax filings.
  • Assist in managing agency cash flow.


Operations:

  • Support with scheduling meetings.
  • Assist with employee onboarding and offboarding.
  • Assist with processing payroll and Human Resources items as needed.
  • Work with our insurance agent and payroll software to manage company benefits.
  • Support with developing, implementing, and maintaining quality protocols; grow the efficiency of existing organizational processes and procedures.
  • Assist with drafting, reviewing, and monitoring client agreements.
  • Support with internal contracts, insurance requirements, and document management.
  • Monitor operational changes and implement them in compliance with federal, state, and local requirements.


Office Management Additional Responsibilities:

  • Conduct research on industry best practices for benefits, compensation, and other perks, and share research findings for internal use.
  • Organize agency files on our server and in the office.
  • Support the planning and execution of client gifting, employee gifting, employee outings, and agency retreats.
  • Assist with management of the West Hollywood office including organizing the space, reviewing mail, and restocking supplies.


Requirements:

To be considered for this role, candidates must meet the below requirements:


  • Minimum 1 years of experience in bookkeeping and/or office management.
  • Knowledge of QuickBooks Online and/or other bookkeeping software.
  • Understanding of budgets and budget management.
  • A fast learner that works efficiently in a fast-paced environment by following instructions, taking initiative, willing to assist, being resourceful, managing tasks, multitasking, being flexible, using critical thinking, and prioritizing deadlines and deliverables.
  • Resourceful with strong problem-solving skills and able to develop alternative solutions.
  • Proficient with Microsoft Office and Google Suite (Drive, Sheets, Docs, etc).
  • Exhibit strong communication skills (written and verbal).
  • Be organized and detail oriented.
