Duties
- Manage administrative responsibilities directly for a company owner, greeting visitors and sales contacts and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and direct inquiries to the appropriate personnel
- Perform data entry, maintain accurate filing systems, and organize documents both physically and digitally using Google and Microsoft Office tools
- Support office management tasks such as calendar management, scheduling appointments, and coordinating and preparing for meetings
- Assist with community centered activities by planning, scheduling, booking and keeping up with contacts
- Maintain responsibility for many of the company's 'people' initiatives; ie; celebrations, training, meetings, anniversaries, etc
- Provide customer service support by answering questions, resolving issues promptly, and maintaining positive client interactions
- Proofread correspondence, reports, and other documents to ensure clarity and accuracy
- Physical ability to spend days moving back and forth between desk work and foot work is a must; not all responsibilities would require dedicated desk time
- Be available to aide in running errands, talk at jobsites with contacts, attend meetings with owner, etc
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Excellent communication skills with a professional phone manner
- Experience working with the public at all levels is preferred
- Strong time management skills with the ability to prioritize tasks effectively in a busy environment
- Personal assistant experience or office management background is advantageous
- Ability to handle confidential information discreetly while maintaining high levels of accuracy in proofreading and filing
- Must have a valid driver's license with a clean driving record
- Must be willing to submit to (and pass) a background check and drug screen
