What are the responsibilities and job description for the Communications Associate - PRN position at H B Magruder Memorial Hospital?
Answers, screens and directs all incoming and outgoing switchboard calls. Knowledge of hospital policy codes and over head pages when necessary. Greets visitors, Patients and Vendors and directs them to their destination. Monitors various alarms and notifies Maintenance when necessary. Prepares outgoing mail by sealing envelope sand applying postage.
Essential Duties & Responsibilities:
- Effectively handles high telephone call volume using tact, patience, and good grammar while maintaining a calm and helpful demeanor at all times.
- Communicates and responds to inquiries and answers questions for callers according to hospital policy.
- Accurately records all messages and conveys information to appropriate person.
- Limits paging to hospital personnel, physicians and appropriate hospital staff utilizing the Hospital’s overhead paging system.
- Verifies inpatient census; keeps patient discharges and admissions accurate and up to date.
- Monitors fire alarm systems and other alarm systems and responds to the appropriate person in emergency situations.
- Efficiently ensures internal and external mail is ready for distribution.
- Actively greets and directs patients/guests to locations on the hospital campus.
- Actively responds to patient/guests needs by seeking appropriate solutions to problems.
- Effectively uses AIDET and monitors any potential needs of our guests in the main lobby.
- Professionally acts as a liaison between patients, hospital personnel, and physicians while focusing on customer service and a professional work environment.
- Accurately applies postage to all weight, shaped based outgoing mail.
- Accurately performs a variety of clerical and customer services supportive task.
- Communicates any updates given during shift, concerns and equipment issues to the first shift Lead.
- Complies with federal, state, and local legal requirements by studying existing and new legislation; anticipating legislation; enforcing adherence to requirements; advising management on needed actions; ensures compliance with Joint Commission and other external and internal regulatory agencies.
- Maintains the integrity of confidential patient information in accordance with HIPAA and hospital policy, including accessing, using and disclosing patient information relevant to the individual employee’s job duties. Also maintains confidentiality of other customer and hospital business affairs.
- Adheres to the standards of Magruder Hospital’s corporate compliance policies and seeks guidance and training when necessary to resolve questions about the policies. Reports violations in accordance with corporate compliance and organizational standards.
- Attendance is an essential function of this position. Reports to work on time and as scheduled; Shows respect for co-workers by following established break times; Keeps personal conversations and telephone calls to a minimum.
- Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.
