Overview of Position
We are seeking a dynamic and detail-oriented Installation and Logistics Coordinator to join our team. The Installation/Logistics Coordinator is responsible for orchestrating the end-to-end execution of last mile delivery and on-site installations. This role sits at the intersection of transportation, field service, customer experience, and operational efficiency, ensuring that every delivery and installation is executed on time, on budget, and to exact customer specifications.
This is a high-velocity, detail-critical role requiring strong decision-making, real-time problem solving, and the ability to manage multiple moving parts simultaneously. Core Responsibilities
1. Scheduling & Dispatch Optimization
- Coordinate daily delivery and installation schedules across multiple markets
- Optimize routing based on:
- Geography
- Technician skillsets
- Time windows / Delivery Deadlines
- Equipment type and install complexity
- Balance route density with service quality and efficiency
2. Field Team Coordination
- Dispatch and communicate with drivers, installers, and subcontractors in real time
- Ensure crews are properly assigned based on:
- Certification / experience level
- Equipment requirements
- Job complexity
- Monitor job progress throughout the day and adjust schedules dynamically
3. Customer & Client Communication
- Serve as the primary point of contact for:
- Customers
- Manufacturers / vendors
- Internal teams
- Provide proactive updates on:
- Delivery ETAs
- Installation timelines
- Delays or exceptions
- Ensure a white-glove customer experience
4. Order & Job Management
- Review incoming work orders for accuracy and completeness
- Validate:
- Scope of work (delivery vs installation vs assembly)
- Special requirements (stairs, obstacles, etc.)
- Required tools, equipment, and crew size
- Ensure jobs are properly coded for billing and execution
5. Exception & Issue Resolution
- Quickly identify and resolve operational disruptions:
- Missed time windows
- Equipment damage
- Labor shortages
- Customer access issues
- Escalate when necessary but prioritize first call resolutions
6. Inventory & Warehouse Coordination
- Coordinate with warehouse teams to ensure:
- Orders are picked, staged, and loaded correctly
- Equipment is inspection-ready prior to dispatch
7. Data Tracking & Performance Metrics
- Track and report on KPIs such as:
- On-time delivery/install %
- First-time completion rate
- Route efficiency
- Labor utilization
- Identify trends and recommend operational improvements
8. Billing & Documentation Accuracy
- Ensure all jobs are properly documented for billing:
- Delivery vs installation delineation
- Additional charges (stairs, carry distance, etc.)
Required Qualifications
- 1 years’ experience in:
- Logistics coordination, dispatch, or field service operations
- Strong understanding of:
- Final mile delivery workflows
- Installation/service-based operations
- Proficiency in:
- Dispatching software / CRM / WMS / FSM platforms
- Microsoft Excel or equivalent
- Ability to manage high call/email volume in a fast-paced environment
- Customer experience

Preferred Qualifications
- Experience in:
- Fitness equipment installation, appliances, furniture, or similar industries
- Multi-state logistics operations
- Familiarity with:
