EVENTS SERVICES COORDINATOR (ADMINISTRATIVE) POSITION SUMMARY
The Authority is currently recruiting an Events Services Coordinator (Administrative) to join Georgia World Congress Center. The Event Services Coordinator (Administrative) provides comprehensive administrative and operational support to the Event Services office at the Georgia World Congress Center Authority (GWCCA). This role ensures effective coordination of departmental processes, communication, and documentation related to event planning and execution. Working under the direction of the Assistant Director and Director of Event Services, the Coordinator supports event managers, assists with internal systems and reporting, and contributes to the seamless delivery of world-class event experiences across the GWCCA campus.
EVENTS SERVICES COORDINATOR (ADMINISTRATIVE) WORK ENVIRONMENT
- Fast-paced, professional environment within the Georgia World Congress Center campus.
- Typical work hours are in-office Monday through Friday, with occasional evenings or weekends based on event schedules.
- Combination of office-based work and limited on-site event support.
EVENTS SERVICES COORDINATOR (ADMINISTRATIVE) PHYSICAL DEMANDS

EVENTS SERVICES COORDINATOR (ADMINISTRATIVE) ESSENTIAL DUTIES and RESPONSIBILITIES
- Provide day-to-day administrative support to the Event Services team, including scheduling meetings, preparing correspondence, and maintaining departmental calendars.
- Coordinate and track departmental communications, reports, and documentation to ensure consistency and accuracy.
- Coordinate department meetings through scheduling, notetaking, etc. Draft meeting meetings and develop meeting recaps for review. Distribute accordingly.
- Answer incoming calls and emails to Event Services department. Respond or route as appropriate.
- Assist in the preparation, review, and distribution of event documentation such as event orders, floor plans, and operational summaries.
- Maintain digital and physical filing systems for event information, contracts, and post-event reports.
- Support the onboarding and training coordination for new team members, including scheduling and resource preparation.
- Monitor timelines for pre-event requirements, ensuring collection and organization of necessary materials from clients and vendors.
- Assist in compiling data for departmental metrics, event summaries, and performance reports.
- Help manage updates to departmental Standard Operating Procedures (SOPs), templates, and shared resources.
- Primarily coordinate logistics for internal meetings, workshops, and team engagement activities.
- Support the budget administration process through tracking invoices, purchase orders, and expense reports.
- Serve as a liaison with other departments (Sales, Guest Services, Campus Operations, Public Safety, Food Services, Parking, etc.) to facilitate smooth communication and document exchange.
- Uphold GWCCA’s service standards and assist in maintaining a positive and professional departmental image.
- Perform other administrative or special projects as assigned by the Assistant Director or Director of Event Services.
EVENTS SERVICES COORDINATOR (ADMINISTRATIVE) KNOWLEDGE, SKILLS, and ABILITIES
- Strong organizational skills and meticulous attention to detail.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with event management software preferred.
- Ability to exercise discretion and maintain confidentiality of sensitive information.
- Professional demeanor with strong interpersonal and customer service skills.
- Demonstrated initiative, reliability, and problem-solving ability.
- Team-oriented mindset with a commitment to supporting departmental and organizational goals.
EVENTS SERVICES COORDINATOR (ADMINISTRATIVE) EDUCATION and/or EXPERIENCE
- Associate or Bachelor’s degree in Business Administration, Hospitality, Event Management, or a related field preferred.
- Minimum 2–4 years of administrative or coordination experience, ideally in a hospitality, event, or facility management environment.
- Experience supporting a multi-departmental or client-facing team is strongly preferred.
- Valid Driver’s License
