Position Summary
We are seeking a detail-oriented and organized College Assistant to support the department of Workforce Development and Continuing Education. This role involves providing exceptional customer service, supporting office operations, programmatic research, and assisting with various adminstrative tasks. The ideal candidate will possess strong computer skills, managing multiple projects, and excellent communication abilities. Bilingual proficiency is a plus to effectively serve diverse student populations. The College Assistant plays a vital role in maintaining day-to-day tasks and supporting students, faculty, and staff.

KEY RESPONSIBILITIES

  • Assist with the organization and review of program materials and instructional resources
  • Support program by managing student registration, onboarding, and intake processes using platforms such as but not limited to Xendirect, CUNYfirst, Excel, Teams, Handshake, SharePoint, and Google Workspace.
  • Maintain accurate and compliant student records, including attendance, schedules, and documentation, in alignment with grant and institutional guidelines.
  • Support with marketing program to internal and external stakeholders
  • Support data collection and reporting for grant-funded initiatives
  • Perform related duties as assigned

OTHER RESPONSIBILITIES

  • Respond to student and partner inquiries in a timely and professional manner, ensuring clear communication and strong customer service.
  • Participate in regular team meetings and contribute to ongoing process improvement discussions.
  • Provide logistical and administrative support for faculty and guest instructors, including materials preparation and room setup.
  • Stay informed about industry trends and workforce development best practices to contribute to program enhancement.
  • Assist with onboarding and training of new staff or interns within the department, as needed.

REQUIREMENTS

  • Proven experience in office management, clerical work, or administrative support roles
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and attention to detail for proofreading and document preparation
  • Exceptional customer service skills with professional phone etiquette and communication abilities
  • Bilingual proficiency is preferred to assist diverse student populations effectively
  • Ability to manage multiple tasks efficiently while maintaining professionalism in a fast-paced environment
  • Previous office experience, including filing, calendar management, and office supply coordination
  • High school diploma or equivalent
