Duties
- Serve as the front desk ambassador, greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
- Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools
- Provide exceptional customer support by responding promptly to inquiries via phone, email, or in person
- Support office management tasks such as bookkeeping using QuickBooks, maintaining supplies, and overseeing general administrative functions
- Assist with medical or dental receptionist duties when needed, including patient check-ins and appointment scheduling
- Maintain organized filing systems, process incoming correspondence, and ensure timely follow-up on pending items
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent phone etiquette with the ability to handle multi-line phone systems efficiently
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Previous experience as a personal assistant or medical/dental receptionist is a plus
- Demonstrated time management skills with the ability to prioritize multiple responsibilities in a fast-paced environment
