MISSION:
The Concierge is a key player in the success of our business. This role is the primary contact for clients visiting and the voice of the organization when calling clients and prospects. The Concierge represents the company’s image and, as such, must embody our Core Values at all times.
The Concierge is a mission-critical position that not only represents the face of the company but also provides day-to-day management of the business office and building.
CORE ENGAGEMENT REQUIREMENTS
Reception Desk:
· Welcoming incoming clients, greeting them professionally and politely
· Inquiring which advisor their appointment is with
· Offering/providing refreshments
· Professionally informing employees of guest/client arrival
· Efficiently managing incoming calls in a polite and professional manner, following company processes for managing call flows
· Assisting clients who may need directions, statements, balance information, and/or appointment or scheduling assistance
Team Support:
· Receive deliveries and distribute to recipients
· Receive and distribute USPS mail deliveries to appropriate team members
· Schedule wholesaler lunches, to include ordering and arranging for meal delivery
· Manage mailings, to include running monthly reports, gathering signatures, hand-addressing envelopes and ensuring timely delivery through the USPS mail system
· Facilitate UPS package deliveries
· Order and maintain appropriate stock of beverages and condiments
· Ensure fresh coffee is available for staff and clients
· Print and bind financial plans as requested by advisory staff
· Assist with marketing efforts, including mass mailings
· Maintain RSVP lists for special events when required
· Other clerical duties as assigned
Building Management:
· Interact with contracted workers such as cleaning crews
· Order and maintain cleaning supplies
· Schedule periodic and on-demand maintenance, e.g., plumbing issues, HVAC maintenance and quarterly cleaning, lighting issues, and others as required for the proper upkeep of the building
· Organize end-of-month billing, printing invoices and assigning them to expense categories
· Maintain cleanliness of common areas between contracted cleanings, e.g., kitchen, conference rooms, and lobby areas
QUALIFICATION REQUIREMENTS:
Education and Licensing:
· High school degree or GED or equivalent
· University/college degree an asset
Expert Level Skills:
· Professionalism and sense of propriety
· Telephone skills
· Ability to multi-task in a high-pressure environment
· Client-focus
· Written and verbal communication skills
· Organizational skills
Proficiency Skills:
· Familiarity with phone systems preferred
· Previous experience with Microsoft Office preferred
· Previous experience with Salesforce CRM preferred

Pay: $20.00 - $22.00 per hour
