About Guiding Light Psychiatry
Guiding Light Psychiatry is a growing outpatient mental health practice providing psychiatric care to children, adolescents, and adults throughout Massachusetts. Our practice is committed to delivering compassionate, patient-centered care within a supportive and professional environment.
We are seeking a dependable, organized, and compassionate Office Assistant to support the daily operations of our office and contribute to a positive patient experience.
Position Summary
The Office Assistant will support both administrative and clinical office workflow within a outpatient psychiatric practice. This role requires professionalism, strong interpersonal skills, attention to detail, and the ability to multitask effectively in a healthcare environment.
The ideal candidate is reliable, personable, organized, and comfortable interacting with patients of all ages while maintaining confidentiality and professionalism.
Administrative Responsibilities
- Welcome and check in patients in a professional and compassionate manner
- Obtain and document patient vital signs including blood pressure, pulse, height, weight, and temperature when appropriate
- Prepare patients for appointments and notify providers of patient arrival
- Assist with maintaining organized and accurate patient records within the EHR
- Schedule and confirm patient appointments
- Assist patients with intake forms and office paperwork
- Maintain cleanliness and organization of office and clinical spaces
- Scan, fax, upload, and organize clinical documentation
- Communicate professionally with pharmacies, schools, and outside providers when needed
- Assist with general administrative and office support duties
- Support providers and office operations to ensure efficient patient flow throughout the day
- Experience with prior authorizations a plus
Qualifications
- Previous experience in a medical office, mental health office, healthcare setting, or administrative role preferred
- Medical assistant experience is a plus
- Comfortable obtaining and documenting basic vital signs
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Ability to maintain professionalism and confidentiality
- Comfortable using computers, email, and electronic health record systems
- Ability to work independently and collaboratively within a team environment
- High school diploma or equivalent required

Compensation
Competitive hourly compensation based on experience and qualifications. Expected range is approximately $22–$24 per hour depending on prior medical office, mental health, administrative, or medical assistant experience.
