Job Summary
We are seeking a dedicated and organized administrative assistant to join our healthcare practice. The ideal candidate will play a crucial role in ensuring smooth operations for the practice, providing exceptional customer service to patients, and supporting the administrative functions of our healthcare team. This position requires strong communication skills, attention to detail, and proficiency in various office technologies.
Duties
Administrative assistance for the Chief Medical Officer and 16 providers. This position will assist the staff with the following;
- Greeting patients and visitors warmly upon arrival and assist with check-in procedures.
- Manage phone systems to handle incoming calls, schedule appointments, and address patient inquiries.
- Utilize Google Workspace for document management, scheduling, and communication with team members.
- Utilize Excel for organization and management of practice data.
- Utilize EMR for scheduling and document management.
- Perform data entry tasks accurately to maintain patient records and ensure information is up-to-date.
- Medical receptionist duties including coordinating patient flow and ensuring a welcoming environment.
- Assist with administrative tasks such as filing, organizing documents, and maintaining office supplies.
- Act as a medical assistant to healthcare providers by managing schedules and facilitating communication between staff and patients.
- Preparation of documents for healthcare providers.
- Assist Senior Administrative Assistant in their duties.
Requirements
- High School Diploma or equivalent required.
- Associates Degree or Certificate preferred.
- Previous experience in a front desk or customer service role.
- Proficiency in Google Workspace applications (Docs, Sheets, Calendar).
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Excellent verbal and written communication skills for effective interaction with patients and staff.
- Experience with phone systems and computerized office environments is essential.
- A proactive attitude towards problem-solving and a commitment to delivering high-quality service.
Additional Salary Detail
The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a team member's base salary and/or rate, several factors may be considered as applicable (e.g., location, specialty, service line, years of relevant experience, education, credentials, negotiated contracts, budget and internal equity). Pay increases occur at successful performance reviews.
Additional Benefits Detail
Flexible hours are determined after a successful orientation/training. Flexible schedule includes overtime opportunities on Saturdays and/or a Saturday replacement for a day during the week. Work hours can be made to be a split shift during the day. Orientation training hours will be 9am to 5pm. After this hours will switch to 11am to 7pm with flexibility before 3pm; 4pm to 7pm must be worked.
Paid Time Off is 3 weeks with unused time paid at the end of the calendar year.
