Job Summary
We are seeking an experienced, results-driven Director of Admissions to lead and oversee our Admissions Department for a growing behavioral health organization specializing in substance abuse and mental health treatment. This role is responsible for managing the daily operations of a fast-paced admissions call center, driving admissions performance, ensuring exceptional patient experiences, maintaining compliance, and developing a high-performing admissions team.
The Director of Admissions will work closely with Executive Leadership, Business Development, Clinical, Utilization Review, and Operations to maximize admissions while ensuring every prospective patient receives compassionate, ethical, and professional care.
Key ResponsibilitiesLeadership & Team Management
- Lead, coach, and develop Admissions Managers, Team Leads, Closers, Coordinators, and Verification Specialists.
- Recruit, hire, train, mentor, and evaluate admissions staff.
- Foster a positive, accountable, and performance-driven culture.
- Conduct regular one-on-one meetings, coaching sessions, and performance reviews.
- Develop career growth plans for team members.
Admissions Operations
- Oversee all incoming admissions inquiries from phone, web, referral partners, and marketing campaigns.
- Ensure timely response to all leads while maintaining high conversion rates.
- Monitor admissions pipeline and identify opportunities to improve patient enrollment.
- Develop and optimize admissions workflows and Standard Operating Procedures (SOPs).
- Ensure proper documentation within Salesforce, CRM systems, and admissions software.
Performance & KPI Management
Monitor and improve department KPIs including:
- Call answer rate
- Speed to lead
- Lead response time
- Conversion rate
- Admissions percentage
- Show rate
- Insurance verification turnaround
- Call quality scores
- Patient satisfaction
- Referral source conversion
- Staff productivity
- Average handle time
- Follow-up compliance
Analyze reports daily and implement action plans to improve performance.
Quality Assurance & Compliance
- Ensure admissions staff follow HIPAA, federal, state, and company regulations.
- Maintain ethical admissions practices.
- Monitor recorded calls for quality assurance.
- Ensure accurate insurance verification and documentation.
- Work with QA to continuously improve call quality.
Business Development Collaboration
- Partner with Business Development to maximize referral relationships.
- Communicate admissions trends and referral performance.
- Identify opportunities to improve referral conversion rates.
- Maintain strong relationships with referral partners.
Technology & Systems
- Oversee CRM systems including Salesforce and call tracking platforms.
- Monitor phone systems, texting platforms, automation, and reporting tools.
- Work alongside IT to resolve operational issues.
- Recommend technology improvements that increase efficiency.
Reporting & Analytics
Prepare and present reports on:
- Admissions performance
- Team productivity

Provide recommendations to executive leadership based on data analysis.
QualificationsRequired
- Bachelor's degree in Healthcare Administration, Business, Psychology, or related field (or equivalent experience).
- 5 years of admissions leadership experience in behavioral health, substance abuse treatment, healthcare, or a high-volume admissions call center.
- 3 years of management experience leading admissions or sales teams.
- Strong knowledge of substance abuse and mental health treatment admissions.
- Experience with insurance verification and behavioral health payer guidelines.
- Experience using Salesforce or other CRM platforms.
- Excellent leadership, communication, and coaching skills.
- Strong analytical and problem-solving abilities.
Preferred
- Experience in addiction treatment or behavioral healthcare.
- Knowledge of ASAM criteria and behavioral health levels of care.
- Experience with Salesforce, CTM (CallTrackingMetrics), Five9, RingCentral, or similar call center software.
- Experience building KPIs, dashboards, and performance reporting.
