Role Description
We are seeking a full-time detail-oriented Administrative Assistant to support our commercial real estate team. The ideal candidate brings hands-on real estate industry experience, strong financial acumen, and a working knowledge of Yardi Voyager (or similar property management platform). This role is central to keeping our portfolio operations running smoothly.
Key Responsibilities
Review, abstract, and track commercial leases, including rent escalations, option dates, and tenant obligations.
Process accounts payable invoices accurately and in a timely manner; maintain vendor records and coordinate approvals
Track Tenant Insurance Certificates
Coordinate with property managers, tenants, vendors to resolve billing discrepancies and lease questions
Prepare correspondence, track critical lease dates, and support due dilgence requests
Provide general administrative support to leadership and staff
Qualifications
- Minimum 3 years of Administrative experience and Clerical Skills for managing daily office operations
- Demonstrated ability to read and interpret commercial leases
- Phone Etiquette and Communication skills to handle calls and correspondence professionally
- Strong organizational and time management abilities
- Proficiency in office software, including Microsoft Office Suite, Yardi Voyager (or similar property management software)
- Hands-on accounts payable experience, including invoice processing, coding and vendor communication
- Ability to manage multiple priorities and deadlines in a fast paced environment
- Experience in the real estate sector is advantageous but not required
