OPPORTUNITY DESCRIPTION
GuernseyTingle is currently seeking a full-time SENIOR MARKETING COORDINATOR to work with our Marketing and Business Development Team.
General responsibilities of this position include a hands-on, production-focused role responsible for the creation and coordination of high-quality marketing materials. The primary focus of this position is the management of the proposal process from start to finish.
The Senior Marketing Coordinator will work closely with Principals, Business Development Director, Project Managers, and technical staff to translate complex architectural concepts into compelling narratives that articulate the firm’s design value.
In addition to proposal development, this role supports general marketing communications, content library management, and maintenance of the firm’s digital presence to support overall business development goals.
Our Marketing Support Coordinator works closely with the Senior Marketing Coordinator position in a support role with both positions under the direction of the Business Development Director and firm Principals. Periodically, the Senior Marketing Coordinator may be tasked with delegation of tasks to the Marketing Support Coordinator in that absence of the Business Development Director.
This is a full-time salaried position. This role does have the potential for a hybrid work environment that blends collaborative office days for team focused assignments with focused individual remote work. Initially, this role will start in office with the ability to transition into a hybrid model. Specifics are flexible and will be agreed upon at time of hire.
DESIRED QUALIFICATIONS
Bachelor’s degree in communications, marketing, English, journalism, or related field.
Minimum of three to six years of marketing experience, specifically within the AEC (Architecture, Engineering, Construction) industry.
Familiarity with architectural terminology, project phases, and the standard proposal process (including Federal SF330 experience) is highly preferred.
Advanced proficiency in InDesign is essential. Proficiency in Photoshop and Illustrator is strongly preferred.
Expert level proficiency in Word, PowerPoint, and Excel.
Exceptional writing, editing, and proofreading skills with an ability to tell a compelling story.
Experience with CRM software is a plus.
Ability to work effectively under strict deadlines and manage multiple concurrent pursuits without compromising quality.
A sharp eye for graphic layout and grammatical accuracy.
Strong interpersonal skills to work effectively with architects, designers, business development team and subconsultants.
Ability to work independently, anticipate necessary steps in the proposal process, and take ownership of the final product
JOB RESPONSIBILITIES
Proposal Development & Pursuit Management (Primary Focus)
Full-Cycle Proposal Management: Lead the production of responses to Requests for Qualifications (RFQs) and Requests for Proposals (RFPs) for private, institutional, and public sector clients (including Federal Standard Forms/SF330).
Review RFQ/RFP requirements to create a compliance matrix and production schedule. Organize kick-off meetings with internal teams and consultants to assign tasks and deadlines.
Draft, edit, and tailor non-technical proposal sections (resumes, project descriptions, executive summaries, firm profiles). Proofread technical scopes provided by architectural staff for clarity, grammar, and consistency with the firm’s voice.
Utilize Adobe InDesign to layout proposal documents, ensuring visual quality and adherence to the firm’s brand standards. Create custom graphics, organizational charts, and diagrams as needed.
Serve as the primary point of contact for external subconsultants during the proposal process; request, collect, and organize their qualifications and forms.
Manage the final assembly, printing, binding, and physical or digital delivery of proposals, ensuring strict adherence to submission deadlines.
Assist extensively in the preparation of interview presentations (PowerPoint/InDesign), leave-behind materials, and boards for shortlisted project interviews.
Marketing Collateral & Content Management
Create, update, and maintain a centralized library of marketing assets, including staff resumes, project sheets, boilerplate text, and accolades.
Assist in coordinating project photo shoots; manage the firm’s image library, ensuring files are properly tagged, stored, and accessible.
Ensure all internal and external communications maintain visual and verbal consistency with the firm’s brand identity.
Business Development Support & Market Research
Monitor lead sources (such as EVA and various procurement sites) to identify new project opportunities across target markets.
Assist with maintaining the firm’s Customer Relationship Management (CRM) database Input new leads, update contact information, track pursuit status, and log "go/no-go" decisions.
Conduct background research on potential clients, competitors, and specific market sectors to support the principals and business development director’s organizational strategies.
Digital Presence & Communications
Assist with content updates to the company website such as new project write-ups and imagery, organizational information, staffing changes and other applicable updates.
Assist and/or lead the drafting and scheduling of content for the firm’s social media channels to showcase firm culture and project milestones.
Coordinate and produce award submission packages for design competitions and industry recognition.
