Work Arrangement: Primarily virtual role. Candidates must reside in either the Tucson or
Phoenix metropolitan area and be available for regular in-person events as required.
Position Overview
Guardian Tax Law is entering a significant period of growth. We are expanding our legal team,
increasing our marketing efforts, and building the operational infrastructure necessary to support
a larger and more scalable organization.
We are seeking an Operations Manager who can bring order, accountability, and operational
excellence to a fast-growing law firm.
This role begins as a blend of office management, administration, people operations, project
coordination, and systems improvement. Over time, the right candidate will have the opportunity
to grow into increasing operational leadership responsibility, helping leadership execute the
company vision, improve processes, maintain accountability, and ensure the organization runs
smoothly as it scales.

Core Responsibilities
Operations & Process Management
● Develop, document, maintain, and improve company processes and SOPs.
● Identify operational bottlenecks and inefficiencies.
● Help leadership implement solutions to recurring operational issues.
● Ensure core processes are consistently followed.
● Maintain operational documentation and company knowledge systems.
● Assist with technology implementation and workflow optimization.
● Support the continued implementation of EOS throughout the organization.
Accountability & Project Management
● Track company priorities, projects, Rocks, and action items.
● Follow up with team members to ensure commitments are completed.
● Help maintain organizational accountability and execution.
● Assist with scorecards, metrics tracking, and operational reporting.
● Coordinate projects across departments.
● Help ensure deadlines and priorities remain visible and on track.
Team Coordination & Communication
● Facilitate communication between departments and team members.
● Coordinate meetings, agendas, notes, and follow-up action items.
● Help resolve operational issues and communication breakdowns.
● Assist leadership with organizational planning and execution.
● Support onboarding and training of new employees.
Human Resources & People Operations
● Coordinate recruiting, hiring, and onboarding activities.
● Maintain personnel files and HR documentation.
● Track PTO, leave requests, and employee records.
● Support employee development and performance review processes.
● Assist leadership with employee relations and workplace culture initiatives.
● Help maintain a positive, accountable, and professional work environment.
Finance & Administrative Operations
● Assist with payroll administration and employee records.
● Support budgeting and operational reporting.
● Coordinate vendor relationships and administrative contracts.
● Assist with expense tracking and reimbursement processes.
● Manage subscriptions, software licenses, and recurring administrative expenses.
● Support leadership with operational planning and resource allocation.
Office Management
● Oversee day-to-day office operations.
● Ensure office systems and workflows run efficiently.
● Maintain office supplies, equipment, and vendor relationships.
● Coordinate facility needs and administrative logistics.
● Support both in-person and remote team members.
Success Measures

Required Qualifications
● High school diploma or equivalent.
● Minimum 3 years of experience in office management, operations, administration, project
coordination, or a related field.
● Demonstrated ability to manage multiple priorities simultaneously.
● Strong organizational skills and attention to detail.
● Excellent written and verbal communication skills.
● Strong follow-through and personal accountability.
● Ability to handle confidential information with professionalism and discretion.
● Strong problem-solving and critical-thinking skills.
● Proficiency with Microsoft Office Suite and Google Workspace.
● Ability to work independently while coordinating effectively with a team.
Preferred Qualifications
● Bachelor’s degree in Business, Management, Communications, Human Resources, or a
related field.
● 5 years of experience in operations, administration, project management, office
management, or business coordination.
● Experience supporting executive leadership teams.
● Experience creating or improving systems, workflows, and operational processes.
● Experience with EOS (Entrepreneurial Operating System) or similar business operating
systems.
● Experience in a law firm, accounting firm, professional services firm, healthcare practice,
or other client-service organization.
● Experience with hiring, onboarding, and employee development processes.
Technology & Software Experience
Experience with the following is preferred:

● Video conferencing platforms
