Guardian Real Estate Services, LLC is seeking a talented Multifamily Property Operations Support Manager/Corporate Administrative Supervisor  to join our experienced and committed team at our NW Portland home office!  

The primary purpose of the Operations Support team is to provide ongoing advanced administrative support to Regional Property Managers of multifamily apartment communities, identifying areas of need and responding accordingly.

Critical to the success of this role will be an individual who has demonstrated strong professionalism, organization skills and computer proficiency, preferably in the industry of property management/real estate or a similar field.

Compensation: $75k annually (depending on experience) bonus eligible. 

Schedule: 40 hours/week, Monday - Friday 8:00AM - 5:00PM.

Position Description:

The Operations Support Manager leads the Property Operations Support team and provides high level, specialized support to the Regional Property Management (RPM) team and broader Property Operations group. This role provides daily oversight, direction, and coaching to a team of three Operations Support Specialists, while also managing complex projects and processes that support Guardian’s property operations. The Operations Support Manager collaborates closely with RPMs and other stakeholders to identify operational needs, prioritize work, and deliver timely, accurate, and professional support across the portfolio.

Requirements:

  • High School diploma required.
  • Minimum four (4) years of experience working in property management, accounting, or another professional services industry.
  • Minimum of two (2) years of Operations Support or equivalent experience. Leadership and supervision experience required.
  • Excellent verbal and written communication skills.
  • Strong computer skills, including solid experience with Microsoft Office (particularly Word and Excel).
  • Experience with Yardi (or other real estate property management software).
  • Must be legally qualified to work in the US

Essential Duties & Responsibilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with or without reasonable accommodations.

  • Provide day to day supervision, coaching, and regular direction to the Operations Support team, including delegating projects, monitoring workload, and partnering with the Regional Property Management team.
  • Act as a key point of contact for property and corporate staff, providing guidance, support, and issue resolution on property operations support needs.
  • Interact with and support property and/or corporate staff, including review of check requests, coordinating meetings, arranging travel, and editing/approving correspondence to and about residents, vendors, clients, agencies, employees, and the public.
  • Compose professional business correspondence and create/maintain databases, spreadsheets, and other tools; design and prepare reports, charts, graphs, tables, presentations, and surveys for various audiences.
  • Utilize accounting and office software (including Yardi and Microsoft Office) to prepare and provide accurate, timely reports for internal and external stakeholders.
  • Analyze and respond to requests for information from clients and agencies, identifying or creating reports and verifying accuracy to meet request criteria.
  • Coordinate and oversee the property reserve request process, including identifying items for submission, completing requests, tracking payments, and maintaining accurate records for lenders, internal staff, and auditors.
  • Prepare legal documents and complete forms (such as management agreements, management plans, assumption agreements, and violation notices), ensuring all required attachments and agency requirements are met.
  • Respond to emergent property needs (e.g., utility shut offs, floods, fires) by providing guidance and direction to sites on next steps and resolution.
  • Coordinate monthly distribution of owner financial statements, ensuring accuracy and adherence to management agreement requirements.
  • Track, monitor, and update Affirmative Fair Housing Marketing Plans and support related compliance activities.
  • Oversee insurance claim matters or lawsuits related to properties and support risk management efforts.
  • Track affordable housing projects and key deadlines and provide necessary documents for development acquisition projects.
  • Actively participate in team meetings, committees, and training; share knowledge with executive, management, and co workers; mentor other roles within the PMA team.
  • Manage assigned systems and processes (currently including the AT&T Ordering System and Fair Housing Office inbox/tracking) and assist with special projects as requested.
