Position Overview:
We are seeking a highly organized, detail-oriented Accounts Support Assistant to provide essential support to our Accounts Receivable, Credit, and Cash Applications Department. This role spans customer account onboarding, credit evaluation, AR reporting, and administrative support. The successful candidate must demonstrate strong analytical skills, exceptional accuracy, and the ability to perform effectively in a structured, fast-paced environment.
This is a full-time remote position; however, candidates must reside within our operational footprint (FL, AL, GA, MS, NC, SC, TN, CO, OK, VA, TX, LA) and live within 30 minutes of their nearest branch location. A standard Monday–Friday schedule is required. Reliable high-speed internet, a dedicated workspace, and basic technical troubleshooting skills are essential.
Requirements
Key Responsibilities:
• Handle customer account setups, including pulling CreditSafe reports, conducting credit evaluations, and entering accounts accurately into internal systems within required timeframes
• Process credit requests, invoice corrections, credits, and rebills in accordance with departmental standards
• Maintain and update departmental SOPs to ensure accuracy and operational consistency
• Monitor customer credit limits and prepare requests for increases or decreases as needed
• Update customer accounts with status notes and changes provided by other departments or branches, ensuring all updates and notifications align with SOP guidelines
• Perform incoming and outgoing credit references to support customer application decisions
• Support monthly AR reporting to CreditSafe and maintain SmartLists, tracking sheets, and other Excel-based reporting tools
• Cross-check invoice processing and mailing timelines using departmental tracking sheets
• Manage daily email communication with customers, vendors, and internal teams
• Provide administrative support to Accounts Receivable, Credit, and Cash Applications Department leadership and assist with departmental projects and process improvement initiatives
Requirements:
• Degree required
• Two plus years of prior work experience demonstrating dependable tenure and strong work ethic
• Advanced proficiency in Microsoft Excel (formulas, tracking sheets, SmartLists)
• Excellent written and verbal communication skills
• Exceptional accuracy and attention to detail in a deadline-driven environment
• Experience in credit, accounts receivable, or customer account administration is required
• Familiarity with CreditSafe or similar credit platforms preferred
• Experience working successfully in a remote team environment
• Familiarity with ERPs or accounting systems
• Prior experience in fuel services, construction, distribution, or field-service industries preferred
• Must be able to manage multiple tasks with frequent deadlines while maintaining a high level of accuracy
• Ability to meet required turnaround times for customer setups and credit processing
• Strong follow-through, accountability, and task ownership
• Ability to handle confidential information with discretion
• Positive, team-oriented attitude and comfort working within a structured, process-driven environment
• Must be able to accept constructive feedback, maintain professionalism under pressure, and demonstrate resilience and emotional maturity
Additional Requisites:
• Employment is contingent upon passing a standard background check
• A credit check may be required due to the nature of the role
• Comprehensive training will be provided, along with ongoing support from the Accounts Receivable, Credit, and Cash Applications Department
