Guardian Abatement Inc. is a growing environmental remediation company specializing in asbestos, lead, mold, and hazardous material abatement. We are looking for an experienced Office Coordinator to support our operations, coordinate projects, and provide exceptional customer service in a fast-paced office.
Responsibilities
- Answer customer calls and serve as the primary point of contact for homeowners, contractors, remediation companies, and insurance professionals.
- Schedule inspections, laboratory testing, project start dates, air monitoring, and clearance appointments.
- Coordinate daily schedules for project managers and field technicians.
- Review laboratory reports, document project information, and maintain complete files for estimate preparation.
- Communicate daily with homeowners, remediation companies, industrial hygienists, insurance agents, and trade partners.
- Build relationships with restoration companies, referral partners, and housing assistance programs.
- Prepare contracts, invoices, regulatory notifications, and project documentation.
- Maintain organized electronic and paper project files.
- Assist with billing, collections, filing, and general office administration.
Qualifications
- Minimum 2 years of office administration or project coordination experience.
- Experience working in an office supporting asbestos, lead, mold, hazardous waste, or environmental remediation projects is strongly preferred.
- Excellent organizational, communication, and customer service skills.
- Ability to multitask and work efficiently in a fast-paced environment.
- Strong attention to detail and documentation.
- Proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat.
- Experience with AI tools is a plus.
- Bilingual (English/Spanish) is a plus.
