Title: Executive Assistant
Department: General & Administrative (G&A)

Reports To: Executive Leadership Team
POSITION SUMMARY:
At GT&E, the Executive Assistant plays a critical role in ensuring the executive leadership team remains focused on driving strategic priorities and operational execution. This individual will serve as a highly trusted and proactive extension of the leadership team, managing communications, priorities, schedules, and day-to-day administrative responsibilities with the utmost discretion and professionalism.
The ideal candidate is a master of time management and organizational precision, capable of anticipating needs, coordinating complex demands, and protecting the time and attention of the executive leadership team in a fast-paced and dynamic environment. This role requires unwavering confidentiality, a solutions-oriented mindset, and a strong ability to foster clarity and alignment across the organization.
KEY RESPONSIBILITIES:
- Serve as the primary administrative and communications partner to the executive leadership team, serving as a liaison to both internal and external stakeholders
- Proactively manage and optimize executive schedules, ensuring alignment with strategic business priorities, leadership commitments, and operational timelines
- Coordinate complex travel logistics, meeting arrangements, and event planning — balancing both professional and occasional personal logistics to support organizational effectiveness
- Prepare, organize, and manage internal communications, including sensitive documents, confidential correspondence, board-level reporting, and executive briefings
- Screen and prioritize email, calls, meeting requests, and time commitments, ensuring that the leadership team is informed, prepared, and focused on what matters most
- Uphold the highest level of confidentiality across all executive matters — managing sensitive information and leadership discussions with discretion and professionalism
- Support coordination and project execution across departments as directed by the executive leadership team, serving as an organizational hub for executive workflow
- Assist with the planning and coordination of internal and external meetings, and company-wide events
- Maintain administrative systems, records, contact databases, and follow-ups to ensure organizational continuity and efficiency
- Act as a trusted thought partner by flagging potential conflicts, risks, or communication gaps and offering proactive solutions
- Perform additional administrative tasks and cross-functional support duties as needed
- All other duties as assigned
QUALIIFICATIONS AND EXPERIENCE:
Experience:
- 4 years in an executive administrative support role, preferably supporting executive leadership teams
- Proven track record of managing confidential information and working with senior executives in a fast-paced environment
Education:
- High school diploma or equivalent required
- Associate’s degree or relevant post-secondary coursework preferred
Skills & Attributes:
- Exceptional written and verbal communication skills
- Advanced organizational and time management skills with the ability to prioritize and execute with urgency
- High emotional intelligence and interpersonal effectiveness
- Proficient in Microsoft Office Suite, Outlook, and other productivity platforms
- Tech-savvy with a willingness to learn new systems and tools
- Discretion, trustworthiness, and sound judgment are essential
- Ability to work independently and collaboratively with executive and departmental leaders
- Professional presence and ability to represent the executive leadership team and GT&E with integrity
Other Requirements
- Valid driver’s license and ability to meet company driving policy
- Occasional travel and flexibility to work extended hours or weekends as business needs dictate
- Ability to lift up to 40 lbs. and perform occasional physical office support tasks (bending, lifting, squatting, etc.)
