About the Opportunity
We are seeking experienced Administrative Assistants to provide on-site professional administrative support to the U.S. Department of Homeland Security, Federal Protective Service (FPS) Region 6.
This is a contract (1099) position supporting critical operational and security programs across the Midwest region.
Selected candidates will perform a full range of administrative and clerical duties supporting law enforcement, protective security, and facility management functions.
Compensation
- Contract Type: 1099 Independent Contractor
- Hourly Rate: $23.00 – $26.00/hr (depending on experience and location)
- Schedule: Monday–Friday, 7:00 AM – 3:30 PM (8-hour shift including 30-minute lunch)
- Overtime / Surge Support: May be required during special events, emergencies, or federal holidays as requested.
- Contract Period: Anticipated start March 1, 2026; Base Year through February 28, 2027, with possible annual renewals through 2030.
Key ResponsibilitiesAdministrative and Clerical Support
- Prepare and edit correspondence, reports, forms, and presentations using Microsoft Office Suite.
- Manage incoming and outgoing mail, including express and overnight shipments.
- Schedule and coordinate meetings, teleconferences, and conference room reservations.
- Prepare meeting agendas, take minutes, and distribute documentation to relevant personnel.
- Maintain organized hard-copy and electronic filing systems for facility assessments, reports, and administrative records.
- Assemble and submit recurring reports and track task completion timelines as directed by FPS personnel.
Operational and Program Support
- Track and manage case numbers (Form 3155) and assist with report routing and approvals.
- Act as a liaison with the DHS IT Helpdesk for technology, telecommunication, and system support requests.
- Assist with FOIA (Freedom of Information Act) request tracking and distribution.
- Support procurement, inventory, and supply management processes.
- Maintain keys, access lists, and training calendars for regional personnel.
- Assist with timekeeping data, payroll entry support, and travel arrangements (routine and emergency).
Data and Systems Management
- Use and maintain data in systems such as:
- Microsoft Word, Excel, Access, Outlook, PowerPoint, Teams, Edge
- Adobe Acrobat
- ITMS, GSA Fleet System, LEIMS, GovTA, and IT Helpdesk systems
- Maintain high standards of accuracy, confidentiality, and professionalism in all records and communications.
Minimum Qualifications
- U.S. Citizenship (Required) – Must successfully pass DHS background and suitability investigations.
- Education: High school diploma or equivalent.
- Experience: Minimum 5 years of administrative support experience, preferably in a federal, law enforcement, or security environment.
- Skills:
- Proficiency with Microsoft Office Suite and common business software.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking ability in fast-paced environments.
- Professional demeanor, punctuality, and reliability.
- Ability to lift and move office materials or boxes up to 25 lbs.
Security and Suitability Requirements
- Must complete and pass a DHS suitability determination and background investigation prior to entry on duty.
- Must successfully obtain and maintain a DHS-issued Personal Identity Verification (PIV) card.
- Required forms include:
- SF-85 (Questionnaire for Public Trust Positions)
- FD-258 (Fingerprint Card)
- OF-306 (Declaration for Federal Employment)
- DHS Non-Disclosure and Authorization forms
- Must complete annual DHS IT Security and Privacy training and adhere to all confidentiality standards.
