PROCUREMENT MANAGER

  • On-site in Lake Worth, FL
  • 4-day workweek

Girl Scouts of Southeast Florida has a fantastic opportunity available for a Procurement Manager!

The Procurement Manager leads the day-to-day operation of the Council's centralized purchasing process, helping departments obtain the supplies, materials, equipment, and other goods they need while ensuring purchases are well documented, cost-conscious, and aligned with established procedures.

As our Procurement Manager, you will play a key role in implementing and administering our procurement system, coordinating approved purchases from request through delivery, maintaining accurate vendor information, and preparing complete purchasing and receiving documentation for Finance. You will help build a consistent, user-friendly process that improves visibility, strengthens internal controls, and makes it easier for teams across the Council to get their work done.

Reporting to the Chief Financial Officer, you will partner closely with Finance, Systems, and departments throughout the Council. Departments will continue to own their business needs, budgets, approvals, and specialized product decisions, while you manage purchasing execution, vendor coordination, and procurement administration.

You will also coordinate designated vendors supporting routine maintenance and service needs at our Administrative Headquarters.

On any given day, you may be:

  • Handling the administration of our procurement platform, including vendor records, approval workflows, user access, and purchasing data.
  • Reviewing approved purchase requests for completeness, gathering quotes, sourcing suppliers, and placing orders for supplies, program materials, furniture, and non-technology equipment.
  • Tracking orders and delivery timelines, communicating updates to internal teams, and resolving backorders, returns, credits, or supplier issues.
  • Coordinating receiving records and assembling accurate invoices and supporting documentation for submission to Finance.
  • Maintaining vendor information, monitoring pricing and service quality, and identifying opportunities for preferred vendors or purchasing savings.
  • Creating user guides, training employees and approvers, and helping colleagues navigate the new purchasing process.
  • Preparing purchasing reports, monitoring exceptions, and recommending improvements to procurement procedures and workflows.
  • Coordinating routine service calls, maintenance schedules, and follow-up with designated Administrative Headquarters vendors.

Who are we seeking?

  • Someone with a strong understanding of purchasing, sourcing, vendor management, purchase orders, receiving, invoice documentation, and internal controls.
  • A systems-minded professional who is comfortable administering procurement, financial, or ERP platforms and maintaining accurate records and workflows.
  • An organized, detail-oriented problem solver who can manage competing requests, vendor relationships, deadlines, and documentation requirements.
  • Someone who can evaluate quotes and purchasing options for overall value, not simply the lowest price.
  • A clear and patient communicator who can guide colleagues through new processes and explain requirements in practical terms.
  • A collaborative internal service partner who can build relationships across departments while consistently applying purchasing procedures.
  • Someone who uses data, feedback, and sound judgment to identify efficiencies, reduce fragmented purchasing, and strengthen stewardship of Council resources.

What else will you need?

  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, Public Administration, Information Systems, or a related field. An equivalent combination of education and relevant experience may be considered.
  • At least three (3) years of progressively responsible experience in procurement, purchasing, contract administration, supply chain, finance operations, procurement-system administration, or a related field.
  • Experience as administrator or serving as a power user of a procurement, purchasing, financial, or ERP system is strongly preferred.
  • Experience developing procedures, maintaining vendor data, training users, coordinating receiving, and preparing invoice documentation is preferred.
  • Experience in a nonprofit, education, government, grant-funded, or multi-department environment is preferred.
  • Proficiency with Microsoft 365 and the ability to work in person at our Lake Worth-area Administrative Headquarters.

What will you get?

  • We are an energetic group that works really hard, but we also like to have lots of FUN! We're building future leaders of tomorrow, so we provide development opportunities that foster both professional and personal growth and an exceptional benefits package that includes paid holidays, a summer shut-down, and a winter break!
  • We provide an exceptional work environment; vacation and sick time; subsidized medical and dental insurance; free Teladoc; employee assistance program access; life and disability insurance; and optional additional life insurance, FSA, pre-paid legal plan, and vision coverage through payroll deductions. Team members receive discounts at our Council shop and are eligible to participate in a 401(k) with employer match from day one, with no vesting period!
  • All team members are invited to participate in our employee culture and engagement activities, Dog Days of Summer, Health & Wellness challenges, and enjoy a 4-day work week!
