GSE Construction is seeking a highly organized and detail-oriented Estimating Administrative Assistant to support our estimating and preconstruction team. This role plays a critical part in coordinating bid opportunities, managing bid documentation, maintaining compliance requirements, and ensuring deadlines are met throughout the bidding process. The ideal candidate thrives in a fast-paced environment, enjoys managing multiple priorities, and is eager to learn and grow within the construction industry. Candidates must be able to work on-site daily at one of GSE Construction's office locations to support collaboration with the estimating and operations teams.

Responsibilities:
- Maintain and manage bid calendar
- Order plans and specifications
- Process bid documents, GFE, and SRF
- Review, track, and distribute addendums
- Process pre-qualifications
- Request and coordinate bonding information with surety prior to bids
- Request and track required information from subcontractors
- Create and manage contract files
- Renew and maintain city and state licenses
- Coordinate insurance review and processing with broker
- Submit DAS140 forms to unions
- Plan and organize job walks and bid runs
- Answer incoming office and estimating calls
- Follow up with clients regarding upcoming bid opportunities
Qualifications / Skills:
- Detail-oriented with ability to meet deadlines
- Proficient in Excel and Adobe (InDesign preferred)
- Organized, proactive, and able to manage multiple tasks
- Eager to learn and complete tasks
- Willing to work overtime as needed to meet deadlines
