SUMMARY:
The Performance Coordinator provides essential administrative, organizational, and operational support to the Sr. Manager, Performance (PMAO) and the broader Performance Division. This role ensures the smooth execution of the agency’s performance management activities—including coordinating Stat meetings, managing documentation, tracking follow-up actions, maintaining performance calendars, and supporting communication across departments. The Performance Coordinator is the central hub for organizing, scheduling, and aligning performance activities with agency expectations. This role is ideal for someone who is detail-oriented, highly organized, and capable of managing multiple priorities in a fast-paced performance environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Program Coordination & Scheduling
- Coordinate meetings, calendars, and logistics for the Sr. Manager, Performance (PMAO), including Stat sessions, working groups, and departmental reviews.
- Prepare agendas, distribute materials, and ensure required stakeholders are aligned and prepared.
- Manage follow-up communications and ensure all tasks and deliverables are completed on time.
Performance Documentation & Tracking
- Maintain and update performance documents, action trackers, KPI logs, and reporting schedules.
- Track completion of Stat action items and prepare progress summaries for leadership.
- Assist in ensuring KPI definitions, templates, and process documents remain current.
Operational Support for Stat & Performance Activities
- Support the operational setup of the Stat performance cadence (meeting prep, pre-read packaging, action logs, minutes).
- Help organize and archive performance materials for future reference and audits.
- Ensure materials presented to leadership and the Board are properly formatted, accurate, and delivered on schedule.
Cross-Department Coordination
- Coordinate information requests, data submissions, and deadlines with Operations, Maintenance, Customer Experience, Planning, Finance, and IT.
- Serve as a reliable point of contact for internal teams seeking clarity on performance timelines, processes, and expectations.
- Support improvement initiatives by ensuring documentation, timelines, and next steps are clearly communicated.
Light Data & Reporting Support
- Assist analysts by gathering data, preparing spreadsheets, or formatting dashboards as needed (no heavy analytics required).
- Review reports for consistency in formatting, completeness, and alignment with established templates.
- Provide basic qualitative summaries when reviewing notes, feedback, or performance documentation.
Administrative & Project Support
- Assist with travel arrangements, procurement requests, and vendor coordination for the Performance Division as needed.
- Help onboard new performance team members and maintain division resources (templates, SOPs, training files).
- Support special projects assigned by the Sr. Manager, Performance (PMAO).
MINIMUM QUALIFICATIONS:
- Associate degree required; Bachelor’s degree in Business, Public Administration, Communications, or a related field preferred.
- At least 2 years of administrative, coordination, or program support experience.
- Strong organizational and time-management skills with the ability to handle multiple priorities.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and comfort working with data-driven documents.
- Excellent written and verbal communication skills.
PREFERRED QUALIFICATIONS:
- Experience working in a public-sector, transit, or performance-focused environment.
- Familiarity with reporting tools (e.g., Power BI or Tableau) or willingness to learn.
- Experience coordinating cross-functional work streams or supporting project teams.
