Duties
- Manage front desk operations, greeting visitors and clients with professionalism and warmth
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize software tools such as Microsoft Office, Google Workspace, QuickBooks, and other office management systems to support daily tasks
- Coordinate calendar management, scheduling appointments, meetings, and reminders efficiently
- Provide exceptional customer support via phone, email, or in person while maintaining excellent phone etiquette
- Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping
- Support office management activities such as supply ordering, maintaining office equipment, and ensuring a tidy workspace
Qualifications
- Proven experience in an office environment with strong clerical skills and administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills along with attention to detail for proofreading documents
- Exceptional customer service skills combined with professional phone etiquette
- Bilingual abilities are a plus to assist diverse client needs
- Experience as a dental or medical receptionist or personal assistant is advantageous but not required
- Knowledge of multi-line phone systems, filing systems, data entry procedures, and calendar management techniques
