Grover Landscape Services, Inc. is looking for an Administrative Assistant to support our Project Management team and assist our Safety Manager. This role is ideal for someone who enjoys working behind the scenes to keep projects and processes running smoothly.

What Youll Do
As a key member of the team your work will directly impact project efficiency, organization, and compliance.
Key Responsibilities
Project Management Support:
- Assist Project Managers with day-to-day administrative needs
- Organize and maintain project files, contracts, permits, COIs, and closeout documentation
- Track project paperwork, logs, and required documentation
- Help ensure project records are accurate, complete, and up to date
- Support the project management team with material orders, delivery coordination, and tracking material usage.
- Create project-related documents such as Excel spreadsheets, irrigation color charts, and redlined PDF plans.
Safety & Compliance Support:
- Assist the Safety Manager with maintaining training records, incident reports, and compliance documentation
- Track required safety paperwork and follow up on missing or incomplete items
- Help coordinate safety meetings, trainings, and required documentation
- Maintain organized and audit-ready safety files
Administrative & Operational Support:
- Perform accurate data entry and document management
- Create and update spreadsheets, logs, and reports

Required Skills & Qualifications:
Strong attention to detail and follow-through
Excellent organizational and time-management skills
Proficiency with Microsoft Office/Excel and general computer skills.
Strong written and verbal communication skills
Preferred (but not required) Experience:
Administrative experience in construction, landscaping, or safety-related roles
Familiarity with project documentation, compliance tracking, or safety programs
Experience supporting project managers or operations teams
Familiarity with PDF editors such as Bluebeam
