Payroll Technician
JOB DESCRIPTION
The job of Payroll Technician is done for the purpose/s of preparing District payrolls for certificated and classified employees; monitoring payment of employee taxes, benefits and voluntary deductions; preparing and maintaining payroll records, files and reports. Incumbents in this classification provide students and staff with fiscal services which in turn directly supports learning.
Essential Functions
Compiles data from a variety of sources for the purpose of complying with financial, legal and/or administrative requirements.
Maintains a variety of manual and electronic documents, files and/or records (e.g. employment verifications, leave, deduction payroll information, etc.) for the purpose of maintaining an up-to-date trail for reference and ensuring compliance with established regulations.
Notifies county of changes in demographic information for the purpose of ensuring that databases are updated appropriately.
Prepares various payroll related forms and reports (e.g. employment verifications, IRS/EDD forms, etc.) for the purpose of documenting activities, providing written support and/or conveying information.
Processes new hire and payroll information (e.g. monthly/special payrolls, time sheets, payroll data, pay warrants, voluntary deductions, benefits earned, W-4 changes, TB test clearances, address changes, etc.) for the purpose of ensuring timely and accurate issuance of pay warrants.
Reconciles payroll information for the purpose of maintaining accurate balances and complying with accounting practices.
Researches discrepancies of financial information and/or documentation for the purpose of ensuring accuracy and adhering to procedures.
Responds to inquiries for the purpose of providing information and/or direction as may be required.
Other Functions
Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.
Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications; performing accounting procedures; and preparing and maintaining accurate records.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: pertinent codes, policies, regulations and/or laws; accounting/bookkeeping principles; accounting/bookkeeping principles; posting, balancing and auditing procedures; principles and techniques involved in payroll preparation, monitoring and control; and concepts of grammar and punctuation.
ABILITY is required to schedule activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with a variety of data; and utilize specific, job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving withdata frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; working as part of a team; and working with detailed information/data.

Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience is required.
Education: High school diploma or equivalent.
