Overview of the Role
We are seeking an Executive Engagement Coordinator to join the Executive Engagement team within the Office of the CEO in San Francisco, CA. In this role, you will support CEO-level events, Board of Directors engagement, and cross-functional strategic programs - keeping logistics, communications, and stakeholder coordination moving with precision across multiple simultaneous workstreams. This role requires willingness to work outside standard business hours when events demand it, and domestic and international travel is required.

We are seeking an Executive Engagement Coordinator to join the Executive Engagement team within the Office of the CEO in San Francisco, CA. In this role, you will support CEO-level events, Board of Directors engagement, and cross-functional strategic programs - keeping logistics, communications, and stakeholder coordination moving with precision across multiple simultaneous workstreams. This role requires willingness to work outside standard business hours when events demand it, and domestic and international travel is required.
Responsibilities
- Coordinate logistics for high-profile CEO-level events including dinners, summits, and signature moments such as TIME100, Davos, Dreamforce, and regional CEO dinners — managing RSVP tracking, attendee lists, confirmed and waitlist statuses, and guest data including company, title, Annual Order Value (AOV), pipeline, and renewal metrics to support invite strategy
- Draft and send executive-ready communications including invitations, pre-event briefings, and day-of materials, and support on-site event execution including registration and guest experience
- Support scheduling, communications, and logistics for Board of Directors meetings and events, including drafting and distributing agenda materials, Board communications, and post-event recaps
- Build and maintain trackers, briefing documents, agendas, and presentation materials across multiple workstreams, and partner closely with Executive Assistants, Legal, Public Affairs, Marketing, and Sales on overlapping priorities
- 2–4 years of experience in executive support, event coordination, program management, or a related field
- Exceptional organizational skills with a track record of managing complex, detail-heavy projects across concurrent workstreams with shifting timelines
- Strong written communication skills with experience drafting executive-ready materials quickly and accurately
- Demonstrated ability to work with C-suite stakeholders and high-profile external guests with discretion and professionalism
- Experience supporting a Board of Directors or senior governance function
- Familiarity with executive hospitality, invite-only events, or CEO engagement programs
- Background working in or alongside an Office of the CEO, Chief of Staff function, or similar
