Grid-Line Transportation, Inc. is seeking a detail-oriented Documentation Specialist to support our Managing Director and CEO. This role organizes, maintains, and updates company documents to ensure they are accurate, accessible, and updated. Key responsibilities include managing document control systems, creating and distributing documentation like manuals and reports, verifying accuracy, and training staff on procedures. This role requires strong organizational skills, attention to detail, and good communication.
Responsibilities:
- Retrieve department metrics
- Process, validate, and report data
- Ensure managers are accomplishing objectives on time and retrieve proof of completion Assign approved objectives with deadlines to managers
- Document company-wide SOPs
- Deliver and implement new company-wide SOPs or updates
- Document new company governance framework documents
- Add, remove, or update wording in company governance framework documents
- Ensure all company governance framework documents and company-wide SOPs are delivered to specific staff
- Assist CEO and Managing Director in completing company objectives by understanding them and supporting implementation
- All other duties assigned by Managing Director and CEO
What We’re Looking For:
- Strong Microsoft Word and Excel skills – can format documents, make charts, use formulas, and organize data clearly and professionally.
- Comfortable using AI tools (ChatGPT, Copilot, etc.) – helps with writing, editing, summarizing, and cleaning up text faster and more consistently.
- Knows how to use or willing to learn project tracking tools (Asana, ClickUp, etc.) – used to track tasks, deadlines, and completion proofs across departments.
- Good at organizing files in systems like SharePoint or OneDrive – keeps company documents easy to find, properly labeled, and up to date.
- Can use PDF programs (Adobe Acrobat, etc.) – to edit, combine, or finalize company forms and policies.
- Familiar with Microsoft, Outlook and other communication tools
- Basic reporting ability
- Great attention to detail, organized, strong data entry, quick learner, problem solving skills
