Gribbins Insulation & Scaffolding is seeking a detail-oriented and dependable Time Keeper to support our jobsite operations. This role includes time spent mainly on-site in Rockport providing direct support to a specific customer account and occasionally at our main office in Evansville for training and development. The Time Keeper plays a critical role in ensuring the accurate and timely recording of employee labor hours, tracking daily activity, and supporting project administration.

Essential Duties and Responsibilities:
Timekeeping & Reporting:
- Accurately track and record daily hours for field crews on the assigned maintenance account.
- Review and verify timecards for accuracy, completeness, and compliance with company and project policies.
- Submit daily and weekly payroll reports to internal and customer teams as required.
- Maintain backup documentation to support all time entries.
Labor Tracking & Cost Coding:
- Ensure all labor hours are properly cost-coded by task or area per customer requirements.
- Work with supervisors to confirm labor allocations and resolve discrepancies.
- Maintain cost tracking functions within our ERP system.
Billing:
- Generate accurate invoices for the assigned customer account using approved labor and cost data.
- Ensure billing aligns with contract terms, rate structures, and approved cost codes.
- Track billing cycles and deadlines to ensure timely invoice submission.
- Maintain organized backup documentation to support all billed charges.
- Collaborate with internal accounting and customer contacts to resolve billing discrepancies or questions.
Communication & Coordination:
- Serve as the main point of contact for timekeeping questions from field personnel and management.
- Coordinate with customer representatives, the internal payroll team, and site management to ensure data accuracy and alignment.
- Support onboarding of new crew members with timekeeping setup and documentation.
Administrative Support:
- Maintain daily labor rosters, including new hire entries, terminations, and crew movement tracking.
- Assist with administrative reporting related to trade work progress, material usage, or other support tasks as assigned.
Minimum Qualifications:
- Associate’s degree or higher preferred, or equivalent relevant administrative experience.
- Prior experience in construction, industrial services, or a similar field preferred.
- Experience with digital timekeeping or field-based time tracking tools is a plus.
- Quick and eager to learn new systems, processes, and software.
- Proficient in Microsoft Excel, Outlook, and Word; familiarity with Microsoft 365 tools such as Teams, SharePoint, and OneDrive is a plus.
- Strong attention to detail with high accuracy in data entry.
- Ability to meet strict deadlines while managing multiple tasks and interruptions in a fast-paced environment.
- Analytical mindset; enjoys solving discrepancies and understanding the story behind the data.
- Maintains confidentiality and handles sensitive information with discretion.
- Communicates clearly and professionally, both verbally and in writing.
- Builds strong working relationships with clients, employees, and supervisors.
- Capable of making sound decisions and seeking guidance when needed.
- Comfortable with prolonged computer use and seated work.
