About the Role
We are seeking a Part-Time Event, Catering & Partnerships Coordinator to bring creativity, organization, and energy to our growing events and catering program at our Nashville location.
This role blends event execution and partnership collaboration. You will plan and execute events, from intimate tastings to large-scale experiences, while also identifying strategic partnerships and promotional opportunities that drive brand awareness and revenue.
You will serve as a key point of contact for clients and partners, ensuring a seamless and welcoming experience from initial inquiry through event completion.
Key Responsibilities
Event & Catering Execution
- Plan, coordinate, and execute events including tastings, classes, private events, and large-scale experiences
- Oversee events & catering orders from concept through execution and post-event follow-up
- Manage event logistics including timelines, setup, breakdown, staffing coordination, and on-site execution
- Ensure all events reflect Greys’ standards: thoughtful, seamless, and high-quality
Client Experience & Sales Support
- Manage inbound inquiries and client communications through HoneyBook
- Serve as the primary point of contact for catering and event clients
- Support sales efforts by converting inquiries into booked events and repeat business
- Deliver a warm, high-touch experience that reflects the Greys brand
Strategic Partnerships & Business Development
- Identify and build relationships with local Nashville restaurants, wineries, and businesses for collaborative events and cross-promotional opportunities
- Proactively source new partnership opportunities that expand Greys’ reach and customer base
- Assist in growing catering, wholesale and experiential offerings through targeted outreach and relationship-building
Marketing & Creative Development
- Research and propose trend-forward event concepts, class ideas, and promotional initiatives
- Support the development of marketing plans to promote events, seasonal offerings, and special experiences
- Collaborate with internal teams to bring concepts to life, including event themes, pricing, and guest experience design
- Stay informed on local market trends and competitor activity to inform strategy
About You
- Passionate about hospitality, food, wine, and creating memorable guest experiences
- Highly organized with strong attention to detail and the ability to manage multiple priorities
- Comfortable working both independently and collaboratively in a fast-paced environment
- Strong interpersonal and communication skills with a client-first mindset
- A proactive, creative thinker who can turn ideas into well-executed experiences
- Trend-aware and curious, with an interest in local business, events, and experiential marketing
- Calm under pressure and adaptable during live event execution
- Familiarity with social media strategy is helpful but not required
Additional Information
- Schedule: 20–25 hours per week
- Admin Hours: Tuesday – Friday, flexible schedule (Nashville location)
- Events: Additional evening and weekend hours as needed
Requirements
- Passion for wine and cheese, with a desire to continuously learn
- Driver’s license and reliable transportation
- Ability to set up and break down events and stand for extended periods
- Must meet Tennessee state requirements to serve alcohol, including a valid TN ABC license
