We are seeking a high-performing, growth-minded, A-player Assistant Property Manager to join our team. In this role, your core mission will be to assist the Property Manager in building a tech-enabled, scalable management infrastructure that optimizes Net Operating Income (NOI), ensures superior asset preservation, and maintains high resident satisfaction to support our rapid portfolio expansion. The ideal candidate operates with a sense of confidence and urgency (not hurried), together with the PM, takes ultimate ownership of portfolio health, and excels at leveraging modern property management tech stacks to drive operational efficiency.
Key Responsibilities & Performance Outcomes
Portfolio Performance & Financial Excellence
You will share responsibility for driving the financial and operational success of our portfolio. This includes maintaining a monthly occupancy rate and collection rate above 97%. To achieve this, you will assist the PM in the immediate preparation and pre-leasing of non-renewed units, innovate weekly on non-performant listings, and execute urgent, efficient unit turns. Your collection strategy will rely on proactive, rigorous communication, reaching out to tenants one day prior to delinquency and maintaining daily communication following any delinquency. Additionally, you will assist the PM in preparing and maintaining detailed weekly reporting for the Property Management Executive meeting and help prepare accurate Investor Portfolio Reviews according to our scheduled cadence.
Expense Management & Operations
A critical component of this role is contributing to a monthly expense ratio of less than 35%. You will be expected to find innovative, cost-effective solutions at every opportunity, strictly prioritizing in-house operational capabilities over outsourcing to external vendors wherever possible. You will coordinate closely with our Maintenance Technician(s) to ensure seamless, timely communication regarding property needs and updates.
Maintenance Audit & Compliance
You will support the PM in maintaining quality control across our maintenance pipeline by reviewing and auditing every client-submitted maintenance request. You will ensure all maintenance tickets feature defined success criteria, clear descriptions, and supporting images before categorizing them into strict completion timelines:
- 24-Hour (Dangerous Conditions): Addressing any condition posing a substantial risk of imminent loss of life or significant physical harm.
- 3 Business Days (Habitability & Health): Managing items that affect basic habitability or violate local health and safety codes.
- 10 Business Days (Lease Compliance): Handling items required by specific rental agreements that do not impact basic habitability.
Daily, you may assist in the audit of completed tickets to verify that solutions meet the established success criteria and that the Maintenance Technician has uploaded visual proof of completion, followed by communicating the successful resolution directly to the resident.
Leadership, Collaboration & Professional Growth
You will meet daily with the PM, leadership, and the maintenance team to align on the daily roadmap, and you will support the PM in preparing for and running the weekly Property Management Executive meeting. This position requires a minimum of 40 hours of on-station time each week. Because we value continuous improvement, you will also be expected to actively seek out quarterly professional development opportunities, including industry classes, trainings, certifications, and conferences.
