Director of Facilities

JOB TITLE: DIRECTOR OF FACILITIES

 

REPORTS TO: Executive Director of Business and Operations

 

SUPERVISES: All Facility Maintenance, Grounds, and Custodial Personnel

 

FLSA STATUS: Exempt

 

NATURE AND SCOPE OF JOB:

 

Organizes, administers, and leads a comprehensive program encompassing maintenance, custodial, and grounds services. The goal is to provide efficient, economical care for all district facilities, equipment, and furnishings, ensuring students, staff, and the community have clean, safe, and healthy environments. This role requires a strategic thinker capable of planning 12–18 months in advance to anticipate district needs.

QUALIFICATIONS:

  1. Education: Baccalaureate degree in architecture, engineering, construction management, school administration, or a related facilities management field.

  2. Experience: Minimum of five years in building design, construction, school administration, or property management, with at least three years in a supervisory role.

  3. Analytical Skills: Demonstrated ability to use analytics and data management to drive decision-making and improve operational efficiency.

  4. Communication: Excellent oral and written communication skills in English. Must demonstrate the interpersonal skills necessary to build strong working relationships with building principals, staff, and the community.

  5. Strategic Vision: Proven ability to lead long-range planning and organize multi-year maintenance cycles, or manage district-wide operational strategies.

VERIFICATION OF COMPETENCY:

  1. District application and resume.
  2. Required documentation outlined in the qualifications above.
  3. A minimum of three letters of reference from former employers, teachers, professors or other professional sources.
  4. Employment interview.

EMPLOYMENT TERMS:

The Director of Facilities shall be employed under the following terms:

  1. Work year of twelve months.
  2. Salary or hourly wage, benefits and leave time as specified in the written contractual agreement with the Board.
  3. Conditions established by all laws and codes of the State, and all policies, rules, and regulations established by the Board of Education.

JOB FUNCTIONS AND RESPONSIBILITIES:

The Director of Facilities shall:

Primary Responsibilities

1. Operational Oversight (Maintenance, Custodial, & Grounds)

  • Lead all maintenance, grounds, and custodial operations in compliance with federal, state, and local regulations.

  • Develop, implement, and maintain a multi-year comprehensive maintenance plan for all major systems, including HVAC, mechanical, plumbing, roofing, and structural components.

  • Direct a robust grounds-maintenance program to ensure all outdoor facilities and playground equipment are attractive and safe.

  • Collaboratively work with the Head of Grounds to oversee snow and ice removal to ensure safe, timely school openings.

2. Strategic Planning & Analytics

  • Utilize data and analytics to monitor work order status, identify repair patterns, and recommend facility modernizations.

  • Act as a strategic lead, collaborating with the Executive Director of Business and Operations to review and update the district’s long-range facilities plan with a focus on the next 12–18 months.

  • Analyze accident and injury reports to establish corrective procedures that reduce future hazards.
  • Serve as a key stakeholder in the planning and development of major remodels or new school facilities, participating in design reviews, construction planning sessions, and project meetings to ensure operational efficiency, maintainability, safety standards, and alignment with district facility goals.

3. Fiscal Leadership & Budgeting

  • Develop and recommend the annual Buildings and Grounds budget.

  • Administer the approved budget, adhering to financial limits and following established bidding requirements for all procurement. Ensure robust contractor oversight to meet project deliverables, specifications, and timelines.

  • Manage inventory control and purchase supplies through established bidding processes to maximize cost efficiency.

4. Leadership & Professional Development

  • Lead and facilitate professional development trainings and in-service programs for staff to promote efficiency, safety, and modern maintenance procedures.

  • Establish a recruitment and selection process for personnel that incorporates feedback and recommendations from building principals.

  • Maintain regular communication with building administrators to ensure custodial and maintenance schedules meet the specific needs of each school site.

5. Safety & Compliance

  • Implement a comprehensive safety and health program that includes air-quality controls and hazard-prevention measures.

  • Ensure all facilities and grounds meet annual Department of Education checklists and health standards through regular inspections.

  • Maintain current engineering records and district drawings for all facilities and grounds.

6. Other Duties as Assigned

  • This job description is a general description of the overall, anticipated responsibilities of the position. At all times, the Director’s job assignments are at the discretion of the Board of Education and the Superintendent. Other job duties, including those unrelated to facilities, may be assigned.

7. Physical & Other Environmental Demands

  • Physical: Must be able to sit, stand, and walk for required periods, and possess the strength to lift items necessary for job functions.

  • Environmental: Occasional exposure to various weather conditions and chemicals used in cleaning or building operations.

  • Integrity: Must display the highest ethical behavior and adhere to the Political Accountability and Disclosure Act regarding conflicts of interest.
  • Confidentiality: Protect the privacy of staff records and use legal discretion when sharing sensitive information.

  • Ethical Compliance: Adhere strictly to the Nebraska Political Accountability and Disclosure Act to avoid conflicts of interest in purchasing or employment and file required annual financial disclosures.

  • Legal Adherence: Comply with all federal and state statutes, construction codes, and Board of Education policies and regulations.

  • Adaptive Responsibilities: Perform any additional duties assigned by the Executive Director of Business and Operations that fall within the legal scope of the position.
