Responsibilities
- Greet visitors, clients, and vendors warmly and professionally, creating a positive first impression.
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette.
- Handle all front desk duties including scheduling appointments, maintaining calendars, accepting payment and processing card payments, end of day balancing,and managing visitor sign-in procedures.
- Verify patient eligibility, deductibles and benefits on various websites
- Perform data entry, filing, inbound/outbound faxing and maintain organized records using Microsoft Office, Google Workspace, and other office management tools.
- Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs effectively.
- Assist with office management duties including supply inventory, mail distribution, and maintaining a clean reception area.
Requirements
- Proven experience in office management, clerical work, or as a receptionist in a professional setting.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to multitask efficiently in a busy environment.
- Demonstrated phone etiquette with experience handling multi-line phone systems confidently.
- Prior knowledge in verifying insurance eligibility, benefits is preferred.
- Prior experience in customer service or customer support roles is preferred.
- Familiarity with medical receptionist duties and personal assistant responsibilities is a plus.
- Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous.
Ability to manage time effectively while prioritizing tasks to ensure smooth daily operations.
