We're looking for a detail-oriented Payroll Tax & Compliance Specialist to join our Payroll team. This role is responsible for ensuring all federal, state, and local payroll tax obligations are completed accurately and on time while supporting weekly payroll operations across multiple states.
What You'll Do
Payroll Tax Administration
- Own and maintain the company-wide payroll tax calendar.
- Prepare, file, and reconcile federal, state, and local payroll tax deposits and returns.
- Process Forms 941, 940, W-2, W-2c, and other required payroll tax filings.
- Monitor tax deadlines to ensure full compliance and avoid penalties.
Payroll Processing
- Support weekly payroll processing for field, office, and union employees.
- Review payroll for accuracy, including:
- Hours worked
- Overtime
- Per diem
- Mileage
- Deductions
- Reimbursements
- Assist with off-cycle payrolls and payroll adjustments when needed.
Compliance & Reporting
- Reconcile payroll tax liabilities with payroll reports and the general ledger.
- Research and resolve payroll tax discrepancies, agency notices, and filing issues.
- Register and maintain payroll tax accounts in new jurisdictions as operations expand.
- Prepare quarterly and year-end payroll tax reports.
Employee & Department Support
- Respond to payroll and tax-related employee questions.
- Assist with garnishments, child support, and other payroll remittances.
- Support internal and external audits by providing accurate payroll documentation.
- Maintain strict confidentiality of employee and company information.
Qualifications
Required
- High school diploma or equivalent.
- 3 years of payroll processing, payroll tax, or related accounting experience.
- Experience preparing payroll tax deposits and tax returns.
- Strong understanding of federal and state payroll tax regulations.
- Proficiency in Microsoft Excel.
- Excellent organizational skills with strong attention to detail.
- Ability to manage recurring deadlines in a fast-paced environment.
Preferred
- Experience processing payroll for a large, multi-state workforce.
- Construction industry payroll experience.
- Experience with union, prevailing wage, or certified payroll.
- Foundation Software or similar construction payroll system experience.
- Experience using electronic tax filing and payment portals.
- Associate's or Bachelor's degree in Accounting, Finance, Business, Human Resources, or a related field.
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP).
