This role is responsible for system administration, configuration, governance, and optimization, while also leading training, mentoring, and best-practice adoption across the agency.This position partners closely with operations service teams, producers, compliance, and leadership to ensure Epic is used consistently, accurately, and compliantly, reducing risk, supporting carrier requirements, and enabling scalable growth. As the agency continues to grow, this role serves as a trusted AMS leader who elevates operational excellence across the agency technology landscape, leading us to reducing E&O exposure through strong documentation and system controls, ensuring carrier compliance and audit readiness, improving operational efficiency, scalability, and consistency. This role serves to empower sales and service teams with reliable, well-designed workflows, and enhances client experience through accurate, timely service.Requirements:Primary Responsibilities:Applied Epic System Administration (advanced/expert level proficiency) Serve as the agency-wide administrator and primary subject-matter expert for Applied Epic systemConfigure and maintain workflows, activities, templates, forms, document management, automation, and dashboardsAdminister system security, user access, permissions, and role-based controlsLead system testing, updates, upgrades, and rollouts to ensure smooth adoptionMonitor system performance and proactively identify enhancement opportunitiesCoordinate with Applied Systems and third-party vendors for troubleshooting and supportWorkflow OptimizationAlign Epic workflows with operations processes, including: endorsements, renewals, certificates, claims, auditsSupport producer and account management workflowsTranslate business needs into scalable system solutionsIdentify and implement automation opportunities to improve efficiency and consistencyData Integrity, Compliance & Risk ManagementEnsure accurate processing of carrier downloads, policy data, and commission informationEstablish and enforce Epic documentation standards and required fieldsPerform regular data audits, cleanup initiatives, and quality assurance reviewsSupport carrier audits, regulatory requirements, and internal compliance reviewsMaintain audit trails and system controls to mitigate E&O exposureTraining, Mentoring & User EnablementDesign and deliver role-based Applied Epic training for new hires and existing colleaguesDevelop and maintain SOPs, job aids, workflow guides, and training documentationProvide advanced troubleshooting and coaching supportReinforce consistent Epic usage and best practices across all departmentsReporting & AnalyticsBuild, maintain, and enhance Epic reports and dashboardsProvide operational, compliance, and performance insights to leadershipSupport carrier reporting, audits, and internal reviewsPartner with leadership to develop system-driven KPIs and metricsIntegrations, Vendors & Growth SupportOversee integrations with third-party tools (eSignature, rating platforms, document management, VOIP, etc.)Manage vendor relationships related to AMS tools and integrationsSupport data migrations, acquisitions, and book rolls into EpicAct as the liaison between operations, sales, finance/accounting, IT partners, vendors, and Applied SystemsExperience and Skills:Required5–10 years of experience working with Applied Epic in a commercial insurance environmentAdvanced Applied Epic expertise (senior administrator, systems lead, or power user level)Strong understanding of commercial P&C insurance operations and workflowsExperience supporting compliance, audits, and E&O risk managementProven ability to train, mentor, and support users at all levelsHigh attention to detail with strong analytical and problem-solving skillsPreferredApplied Epic certification(s)Experience leading Epic implementations, upgrades, or major enhancementsExperience supporting multi-office or growing agenciesBackground in agency operations, compliance, or technologyFamiliarity with system integrations, data migrations, or acquisition onboardingExperience with reporting tools, automation, or workflow optimizationKey Skills & CompetenciesExpert-level Applied Epic proficiencyStrong systems and process optimization mindsetDetail-oriented with a focus on data accuracy and complianceAbility to translate technical requirements into practical solutionsClear, effective communication and training skillsProactive, service-oriented leadership approachStrong collaboration and influence across teamsWork Environment & ExpectationsHybrid work schedule (Tues-Thurs onsite in our beautiful downtown office)Occasional after-hours support during major system updates or releasesClose collaboration with operations, sales, and leadership teamsFast-paced, detail-driven agency environment
