The Administrative Assistant is an in-person role responsible for providing high-level administrative support to the Executive Director (ED). This position requires a proactive and detail-oriented individual who excels at managing competing priorities, maintaining confidentiality, and anticipating needs. Responsibilities are clerical, administrative, and project-based and contribute to the seamless operation of meetings, events, and daily agency functions.
Reports To Executive Director
Primary Responsibilities
- Compose and prepare confidential correspondence, reports, and documents.
- Screen incoming calls, emails, and letters; respond independently when appropriate.
- Maintain the ED’s calendar: schedule meetings, events, travel, and other commitments.
- Provide calendar updates and engagement reminders daily, including prep materials and documentation.
- Take and transcribe confidential meeting minutes; prepare and distribute agendas.
- Coordinate logistics for internal and external meetings, including Board and committee meetings.
- Research, collect, and analyze information to prepare accurate and timely reports.
- Support internal team meetings, board/advisory meetings, and Greer Relief-hosted events, including coordination, communication with venues, set up/breakdown, and collaboration with team members.
- Arrange travel and manage expense reports and reimbursements for the ED and Board.
- Maintain accurate records and documentation to ensure compliance with governance requirements (meeting agendas, agency reports, attendance, materials distribution, etc.).
- Maintain a high level of confidentiality and discretion in all aspects of the role.
General Responsibilities

- Perform other duties as assigned.
Schedule
- Part-time, non-exempt; traditional work week with occasional evening/weekend hours.
Minimum Qualifications
Education & Experience
- Associate degree in Business Administration, Office Administration, or related field (Bachelor’s degree preferred)
- Minimum of two (2) years of experience in administrative support, office management, or a similar role (experience supporting executive leadership preferred).
- Experience working in a nonprofit or mission-driven environment is a plus.

Technical Proficiency
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and social media platforms.
- Familiarity with file-sharing and digital filing systems (e.g., SharePoint).
- Experience with CRM or donor databases (e.g., CharityProud, Bloomerang, Salesforce) is a plus.
- Comfortable using office equipment such as copier, printer, scanner, etc.
Other Requirements
- Must be able to lift up to thirty (30) lbs.
- Must have a valid driver’s license and personal vehicle for work related travel.
- Must pass a criminal and financial background check.
Compensation & Benefits
- $17.50 – $19.00/hour, part-time (average 25 hours/week), based on experience
- Health Reimbursement Arrangement (HRA), mileage reimbursement for work-related travel, professional development opportunities
