Project Manager

greenwich play
Greenwich, CT Full Time
POSTED ON 5/30/2026
AVAILABLE BEFORE 6/28/2026
Greenwich Play is seeking a highly organized, detail-oriented, and proactive Project Manager to support the Head of Residential Projects across our residential design portfolio.

This person will help keep projects moving smoothly from intake through installation, ensuring timelines, details, vendors, client communications, procurement, deliverables, and follow-ups are organized and on track.

The ideal candidate is calm under pressure, excellent with logistics, polished in client communication, and energized by the many moving parts of high-touch residential design projects.

This is a role for someone who can see both the forest and the toy bins: big-picture project flow, tiny details, and all the moving pieces in between.

Key Responsibilities

Project Coordination & Timeline Management

  • Support the Head of Residential Projects in managing residential design projects from intake through final installation and finishing touches.
  • Maintain project timelines, task lists, schedules, deadlines, and internal checkpoints.
  • Track project phases, deliverables, approvals, dependencies, and next steps.
  • Help prepare for client meetings, internal reviews, design presentations, procurement updates, and installation days.
  • Keep internal project information organized and accessible across the team.
  • Identify potential delays, missing information, or bottlenecks before they become larger issues.

Client Communication & Experience

  • Serve as a warm, professional point of contact for clients throughout the project process, as directed by the Head of Residential Projects.
  • Draft and send client updates, reminders, meeting recaps, approval requests, and follow-up communications.
  • Track client decisions, feedback, outstanding questions, and approvals.
  • Help ensure clients feel informed, supported, and confident throughout the process.
  • Maintain a high-touch, thoughtful client experience that reflects the Greenwich Play brand.

Vendor, Installer & Trade Coordination

  • Communicate with vendors, makers, installers, organizers, contractors, receivers, and other project partners.
  • Coordinate site visits, measurements, deliveries, installation schedules, and punch-list follow-up.
  • Track vendor timelines, quotes, invoices, production updates, lead times, and delivery windows.
  • Help troubleshoot logistical issues with professionalism and urgency.
  • Ensure external partners have the information they need to execute accurately and on time.

Procurement & Order Tracking

  • Support the procurement process for furniture, materials, play equipment, toys, organizational products, décor, custom pieces, and installation items.
  • Track orders, approvals, shipping status, backorders, substitutions, damages, returns, and receive updates.
  • Maintain accurate product lists, purchase records, budgets, and project documentation.
  • Coordinate with vendors and receivers to confirm delivery details and resolve issues.
  • Support the team in preparing for installations by confirming all items, tools, materials, and details are accounted for.

Installation & Project Closeout

  • Assist with installation planning, including schedules, logistics, product readiness, team assignments, and on-site needs.
  • Support in-person installation days as needed, helping manage details, vendors, styling needs, organizational systems, and punch-list items.
  • Track final adjustments, missing pieces, repairs, returns, or follow-up tasks after installation.
  • Help prepare project closeout materials, care notes, resources, and internal documentation.
  • Ensure each project ends with the same level of care and polish that defines the Greenwich Play experience.

Administrative & Internal Support

  • Maintain organized digital files, project trackers, client folders, vendor information, and internal systems.
  • Support meeting agendas, notes, recaps, and task follow-through.
  • Help improve internal workflows, templates, checklists, and project management systems.
  • Assist with special projects related to residential operations, vendor management, sourcing, and client experience.

What We’re Looking For
  • 2–5 years of experience in project management, interior design operations, residential design, construction coordination, event production, luxury client service, or a related field.
  • Exceptionally organized, detail-oriented, and comfortable managing many moving pieces at once.
  • Strong written and verbal communication skills.
  • Polished, warm, and professional client-facing presence.
  • Ability to anticipate needs, solve problems, and follow through without constant prompting.
  • Comfortable working with vendors, trades, installers, and high-expectation residential clients.
  • Strong sense of urgency, ownership, discretion, and accountability.
  • Comfortable with spreadsheets, project management tools, shared drives, and digital organization systems.
  • An appreciation for interiors, family-centered design, child development, organization, and beautiful functional spaces.
  • Willingness to be hands-on, flexible, and solutions-oriented, especially around installation days.

This role is ideal for someone who is highly organized, detail-oriented, warm with clients, and energized by the logistics behind beautiful residential design projects. You’ll help manage timelines, client communication, vendor coordination, procurement, order tracking, installation prep, and project documentation from intake through final reveal.

The right person is proactive, calm under pressure, polished in communication, and comfortable managing lots of tiny-but-important details. Experience in interior design, residential construction, procurement, luxury client service, or project coordination is strongly preferred.
