Job summary:

The Office Manager coordinates daily administrative operations, manages office supplies, and supports senior management with scheduling and project coordination. They ensure smooth workflow by handling communications, maintaining records, and assisting with various tasks to enhance overall organizational efficiency.


Key Responsibilities

Office Operations & Facilities Management

· Manage the daily operations of the office to ensure an efficient and professional work environment.

· Serve as the primary liaison with building management, maintenance providers, and office vendors.

· Coordinate office maintenance requests, repairs, and facility-related projects.

· Oversee office inventory and procurement of supplies, snacks, beverages, and workplace essentials while managing budgets.

· Ensure office common areas, conference rooms, and kitchens are organized, stocked, and maintained.

· Manage incoming and outgoing mail, packages, and deliveries.

· Maintain office access, including distribution and tracking of key fobs and visitor access.

· Answer and direct incoming phone calls and greet visitors in a professional and welcoming manner.


Employee Experience & Office Culture

· Foster a positive workplace environment and support employee engagement initiatives.

· Coordinate office lunches, birthdays, team gatherings, happy hours, holiday celebrations, and other company events.

· Manage event logistics, vendor relationships, and promotional budgets.

· Maintain employee travel and in-office schedules to support operational planning.

· Act as the primary administrator and employee resource for company travel programs, providing support for travel bookings, itinerary changes, cancellations, travel policy compliance, and travel-related issue resolution.

· Collaborate closely with administrative and operations personnel across global offices to ensure consistency in processes, employee support, travel coordination, and workplace initiatives.


Administrative & Executive Support

· Coordinate meetings, calendars, and office logistics for management as needed.

· Maintain organized filing systems and office documentation.

· Support communication and coordination across departments to ensure smooth office operations.


Vendor & Budget Management

· Manage relationships with office vendors, service providers, caterers, and building personnel.

· Review vendor invoices and ensure timely submission for processing.

· Identify opportunities to improve office efficiency, employee experience, and cost management.


Experience/Knowledge/Skills:

· 1-3 years’ experience in office management or administrative roles preferably 

· Strong ability to prioritize tasks, manage multiple responsibilities, and maintain an organized and efficient work environment.

· Excellent verbal and written communication skills for effective interaction with colleagues, clients, and vendors.

· Proficiency in Microsoft Office

· Strong interpersonal skills with the ability to handle inquiries and resolve issues professionally, enhancing client and employee satisfaction.

· Ability to be flexible and work to deadlines and under pressure

· Accurate and efficient working style with good attention to detail to complete the daily processes

· Growth mindset and motivated by learning


Salary Range: $60,000 to $65,000 annually.
