The Opportunity

Greenwich House is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to provide administrative support to the Behavioral Health Services department. This position plays a critical role in ensuring the efficient operation of the Behavioral Health Services department through calendar management, meeting coordination, project tracking, document management, and communication support.

The Administrative Assistant serves as a key liaison between the Vice President, program leadership, staff, and external stakeholders. The ideal candidate is an excellent communicator with strong organizational skills, the ability to manage multiple priorities, and a commitment to supporting a mission-driven behavioral health organization. This role requires discretion, professionalism, and the ability to handle confidential information with sensitivity.

Responsibilities

  • Provide comprehensive administrative support to the Behavioral Health Services department.
  • Manage and maintain complex calendars, including scheduling meetings, appointments, etc.
  • Coordinate internal and external meetings, including preparing agendas, arranging logistics, and distributing meeting materials.
  • Attend meetings and accurately record, transcribe, and distribute meeting minutes and action items.
  • Maintain organized records of departmental notes, reports, meeting materials, and correspondence.
  • Assist with tracking project timelines and maintaining status updates
  • Assist in preparing presentations, reports, spreadsheets, and other business documents.
  • Coordinate communication between Behavioral Health leadership, program staff, external partners, and stakeholders.
  • Monitor and respond to departmental inquiries and route communications appropriately.
  • Maintain confidential employee, client, and organizational information in accordance with agency policies and regulatory requirements.
  • Assist with administrative departmental compliance, accreditation, and audit preparation.
  • Maintain and organize policies, procedures, and departmental documents
  • Track departmental supplies and coordinate purchasing and vendor requests as needed.
  • Assist in coordination of onboarding and administrative processes for Behavioral Health staff.
  • Generate reports and maintain data tracking systems as assigned.
  • Assist with processing invoices, reimbursement requests, and expense documentation.
  • Perform other administrative and project-related duties as assigned.


What You’ll Bring

  • Associate's degree required; Bachelor's degree preferred.
  • Minimum of two-three years of administrative support experience preferred.
  • Experience in healthcare, behavioral health, human services, or nonprofit settings preferred.
  • Experience preparing meeting agendas, taking minutes, and managing executive calendars.

  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise professional judgment.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong project coordination and follow-up skills.
  • Ability to work independently while collaborating effectively with diverse teams.
  • Ability to establish and maintain positive professional relationships with staff, leadership, and external stakeholders.

  • Schedule: 35 hours per week, Monday–Friday

Salary Range

The expected base salary for this position is $60,000 - $65,000 annually. This range reflects the anticipated compensation at the time of this posting and may be adjusted based on experience, education, and organizational needs.
