Position Summary
The Clinic Office Supervisor is a hands-on leadership role responsible for supporting and overseeing daily front office and back office administrative operations across multiple chiropractic and wellness clinics.
This position focuses on people leadership, operational consistency, patient experience, and execution — not high-level strategy. You’ll work closely with clinic teams to ensure systems are followed, patients are well cared for, and operations run smoothly day to day.
This role is ideal for someone who is organized, dependable, service-oriented, and ready to grow into higher levels of clinic operations leadership.
Key ResponsibilitiesClinic Operations Support
- Support daily front and back office operations across clinic locations
- Ensure staff consistently follow established policies, procedures, and workflows
- Help maintain clinic readiness, including staffing coverage, schedules, and supplies
- Identify operational issues and escalate appropriately
- Assist with implementation of new systems, tools, and procedures
Front Office Leadership & Patient Experience
- Supervise front desk staff and uphold high patient service standards
- Monitor scheduling, appointment flow, and check-in/check-out processes
- Assist with resolving patient concerns professionally and efficiently
- Ensure clear communication, confidentiality, and professionalism
- Help maintain a welcoming, organized clinic environment
Back Office & Administrative Oversight
- Support billing, insurance verification, and documentation workflows
- Ensure administrative tasks are completed accurately and on time
- Assist with tracking claims, payments, and follow-ups
- Review basic reports related to scheduling, billing, and productivity
- Coordinate with billing or management teams to address discrepancies
Staff Supervision & Training
- Provide daily guidance, coaching, and support to administrative staff
- Assist with onboarding and training new team members
- Help manage schedules, coverage, and attendance
- Monitor performance and adherence to clinic policies
- Communicate performance concerns and development needs to leadership
Compliance & Quality Support
- Support HIPAA, OSHA, and internal compliance standards
- Ensure documentation, privacy, and safety protocols are followed
- Assist with audits, checklists, and routine quality checks
- Report compliance or safety concerns promptly
Communication & Reporting
- Serve as a liaison between clinic teams and management
- Communicate staffing needs, operational updates, and patient issues
- Assist with basic reporting and data collection
- Participate in staff meetings and training sessions
Required Education & Experience
Education
- High school diploma or GED required
- Associate degree in healthcare, business, or related field preferred
- Bachelor’s degree a plus
Experience
- 1–3 years of experience in a medical, chiropractic, or wellness office
- Prior lead, senior staff, or supervisory experience preferred
- Experience with scheduling, front desk operations, insurance, or billing

Growth Opportunity

Compensation & Benefits
Compensation
- $48,000 base salary
- $5,000–$10,000 annual performance bonus, based on clinic KPIs such as patient experience, scheduling efficiency, staff retention, and operational performance

Job Types: Full-time, Part-time
Pay: $25.27 - $30.43 per hour
Expected hours: 20 – 30 per week
