What are the responsibilities and job description for the School Nutrition Program Administrative Assistant position at Greene County Public Schools?
Primary Function:
Performs a variety of general bookkeeping, record keeping, accounting functions, administrative and office clerical duties; and computes, classifies, and records numerical data to keep sets of financial records complete and accurate within the School Nutrition Program.
Qualifications:
- Possess high school diploma or GED equivalency certificate
- Prefer any combination of education and experience equivalent to graduation from high school supplemented by business school or accounting courses
- Have demonstrated leadership qualities and personal characteristics necessary for working effectively with vendors, teachers, students, administrators and community members
- Three to five years of experience in general accounting
- Possession of a valid driver’s license.
Responsibilities:
- Responsible for bookkeeping of operational budget for the School Nutrition Program and all five schools within Greene County
- Receives, counts, and accounts for all school funds for the School Nutrition Program
- Prepares and makes bank deposits
- Reconciles bank statements
- Maintains bookkeeping system (Quickbooks)
- Maintains general ledger accounts, checks balances, prepares financial reports
- Prepares bills for payments, verifies coding
- Writes checks, prepares receipts and prepares monthly statements and reports
- Maintains records and filing system
- Maintains financial vendor lists
- Collects and makes receipts for money
- Assist in preparing the annual budget
- Handles purchase orders/requisitions, receiving reports/invoices
- Orders and distributes Office Supplies
- Prepares, processes, prints, files, and distributes a variety of documents. Some material may be of a confidential nature
- Meets/greets/screens visitors; Answers questions and provides information;
- Tracks attendance processing leave, worker’s compensation, and payroll related documents
- Maintains virtual and physical inventory of materials, supplies and/or equipment
- Answers department phones, takes messages and provides responses
- May be needed to substitute in the kitchens when an employee is absent
- Any other duties as assigned by the director of School Nutrition
Knowledge, skills and abilities
Functional knowledge of bookkeeping terminology and methods; functional knowledge of routine accounting principles; ability to maintain financial records and prepare reports and statements; ability to make arithmetical computations quickly and accurately; ability to understand and follow complex oral and written instructions; ability to operate a variety of office machines; knowledge of related software programs; ability to deal effectively with co-workers and the public; ability to type at a reasonable rate of speed - 45 words per minute; some knowledge of the National School Lunch Program and the School Breakfast Program is a plus
PHYSICAL CONDITIONS AND NATURE OF WORK CONTACTS:
Work is typically performed in an office at a desk. Handling supplies, equipment and funds
weighing up to 40 pounds is required. Occasional sustained operation of office machinery is
necessary. Daily deposits of funds are required. Internal contact with staff, faculty,
administration and students are maintained daily. Regular telephone contact with Central Office,
Fiscal Services, Accounting Division and Payroll/Personnel is necessary. Contacts require
considerable tact and discretion.
EVALUATION:
Performance will be evaluated on the ability and effectiveness in carrying out the responsibilities
as outlined.
