This position provides program support for Continuing and Community Education courses offered at Green River College’s main and branch campus locations. The Program Coordinator is responsible for the day-to-day operations of the Continuing and Community Education program. The primary responsibilities of this position are faculty support, student customer service, registration and refund processing, inventory and records management.
Hours for this position are flexible during Monday – Friday 8:00-4:30PM, evenings as needed. The position will split their time between Kent campus and Auburn main campus. Some local travel required to Green River College branch campuses and outreach events. Reports to: The Director of Continuing and Corporate Education.

Green River College's student body is made up of approximately 41% Academic Transfer students, 34% Professional-Technical students, 15% Adult Basic Education student, and 3% Applied Bachelor degrees. Green River College has four campuses, including the main campus in Auburn, Washington, with satellite campuses in Kent, downtown Auburn, and Enumclaw. Green River programs serve high school graduates, Running Start students (dual enrollment in local high schools and the college), those seeking retraining for the workforce, international students, students learning English, and Continuing Education students. - Coordinate, support, and track course enrollments and Instructor needs for Personal Enrichment, Workforce Development, and Prime Time classes.
- Create the Personal Enrichment tracker and update daily. This includes but is not limited to updating class enrollment numbers, reschedules, and cancellations.
- Monitor Continuing Education course registrations which includes receiving and processing payment for program fees.
- Support and monitor Continuing Education website, CTCLink and CampusCE software updates.
- Work cooperatively with departments across campus, specifically, Cashiers, Business Office, and the Registrar to ensure that Continuing Education student records are accurately reflected.
- Train teammates on CTCLink and CampusCE integration and use for student enrollment.
- Support Branch Campus front desks and off-campus program sites as needed, not generally exceeding 2 days per week.
- Provide evening support for Continuing Education instructors teaching evening courses on campus, as needed. This includes but is not limited to creating user log in for computer access, assisting with logging into the computer, and creating and distributing class packets and related materials.
- Data entry for Corporate Training as needed
- Other duties as assigned.
Reporting:
- Extract and compile data to create program reports as requested by team members.
- Prepare weekly room usage reports for safety and facilities.
- Monitor unofficial enrollment reports and update team members of status.
- Track and monitor class changes and cancellations; update the system with new information.
- Proofread, print, and prepare marketing materials for distribution.
Customer Service:
- Answer Continuing Education phone line; answer questions and assist potential students with class and registration questions.
- Respond to Continuing Education departmental requests and complaints via phone and email; recommend alternative courses of action.
- Process refund requests in accordance with department policy.
- Issue and maintain documentation for Continuing Education Units (CEU's) according to state standards.
- Create class completion and specialized certificates for students.
- Oversee class textbook management.
- Special projects as assigned by supervisor.
- Attend community outreach activities/events as required.
Physical Requirements:
- Sitting at a desk for extended periods of time answering phones and performing various tasks on a computer such as registering students for classes, processing refunds, and other computer related tasks.
- Must be able to be on your feet for extended periods, including walking on Main Campus from building to building.
Minimum Qualifications:
- Associate’s degree or 1 year in administrative support.
- Two years’ experience working in an office or professional setting using clerical skills.
- Strong organizational skills including prioritizing, keeping track of information or work in progress, ensuring accuracy, multi-tasking, flexibility, and handling interruptions appropriately.
- Exceptional customer service skills with the ability to place a high priority on professional excellence; manage stress appropriately.
- Evidence of high attention to administrative detail.
Minimum Computer Skills:
- MS Word – Ability to create, format, and edit tables, insert and format sections, create headers and footers; use mail merge to create form letters; modify merged documents, and merge envelopes and labels.
- MS Excel – Ability to create and manipulate complex spreadsheets; perform mathematical formulas; use functions; import data from various sources; create charts and graphs.
- Strong written and oral communication skills; demonstrated expertise in writing and editing; ability to compose, send, and respond to emails; utilize email functions such as calendars and meeting requests; navigate the Internet to find and download information.
- Experience documenting and updating information in written and electronic format to maintain accurate and complete records.
- Ability to work independently and as a member of a team.
- Ability to adhere to the highest standards of integrity and honesty and maintain confidentiality.
Preferred Qualifications:
- Experience at a college, school or university setting.
- 3 years Customer Service experience.
Preferred Computer Skills:
- Excellent Microsoft office skills including MS Access and Publisher.
- Campus CE, SMS, or related registration/program management software – Ability to input navigate complex computer systems, student data, schedule classes, and produce reports.
- Constant Contact – ability to create email surveys, newsletters, and marketing pieces; maintain and manipulate contact lists.
- Familiarity with graphics and database software.
