JOB DESCRIPTION

Position Title: PROGRAM MANAGER

Division/Location: Green Mountain Sprouts, Bennington

Green Mountain Behavior Consulting/Sprouts is expanding and is looking for a Program

Manager to assist in the day to day operations of both the clinic.

Reports to : Clinical Director of Green Mountain Sprouts

Salary Range: $62,000-$72,000

Employment Status: Full Time, exempt

Job Overview:

The Program Manager provides a variety of tasks under the supervision of the Director at Green

Mountain Sprouts. The Program Manager will actively engage in the overall operations of the

center.

Responsibilities:

Policy Development

● Assist Director as needed to develop , inform and implement new policies.

● Review policies and procedures with new staff members as well as review of the

handbook.

Systems Management

● Set up staff in the Rethink platform and assist in training new employees on the system.

● Upload all necessary documents into medical files, alert Insurance Billing Specialist to

enter client information into Rethink

● Ensure Rethink is up to date, staff are properly assigned, session note checks are

completed throughout the week, and emails are sent to the Director and staff for

session notes that are delinquent/incomplete.

● Assist with ADP payroll platform, review staff’s entered time for accuracy and report

discrepancies to Director and include Shannon on the email.

● Manage Staff Callouts , coordinate sub coverage and communicate with families, and

substitutes.

● Manage attendance spread sheet. Track staff attendance percentage and send out

individual weekly updates.

● Approve vacation requests on the 5th of the month prior and add them to the google

calendar.

● Assure that all BT’s appointments and notes are completed and verified at the end of the

day.

● Communicate with Insurance Billing Specialists each week to make sure all notes are

complete each week.

Staff Recruiting and Supervision

● Monitor staff performance periodically within various locations throughout the day to

ensure everyone is on task, and minimize behaviors that may impede client treatment.

● Hiring and managing candidates through the Indeed account for Sprouts Behavior

Technicians.

● Oversee onboarding and training schedules and plans for new employees, as well as

documenting 40 hours of training for insurance purposes.

● Ensure staff are cleaning each area within the clinic prior to transitioning out of each

room.

● Assist staff with periodically rotating toys within the clinic at least every 3 weeks.

● Create daily lunch schedules, provide breaks if needed.

● Monitor and keep group billing below 2.5 hours per week per client.

● Meet bi-monthly with staff to check in.

● Complete new hire check-in and follow up at 30, 60, and 90 days.

● Communicate with Senior BTs.

Assisting Director

● Engage in regular supervision with the director to discuss policies, staffing concerns,

building concerns/issues, and other items as identified by the Director or CEO.

● Ensure that staff adhere to the Sprouts reinforcement system and participate in

awarding positivity tickets to staff.

● Assist the director with personnel issues and work directly with HR/CEO to resolve

issues.

● Maintain budget for expenses, alert Director before of any purchases over $50,

● Review Key Performance Indicators with staff as assigned.

● Maintain and implement any staff reinforcement systems and recording

Assisting Sprouts BCBA/Medical Files

● Print completed reports and BSP created by BCBA, assist in having parents/guardians

and BT sign reports and scab and upload signed copies to the client’s medical files

● Assist with implementing VMAPP assessments - gathering materials and testing using

the BT assessment code.

● Scheduling, conducting or assisting in conducting initial assessments.

● Upkeep and maintain medical files electronically and paper files, and that all PHI is kept

in a secure location

● Uphold HIPAA policies

● Assist by running monthly progress notes, and 6 month progress notes for Medicaid, add

information and deliver to BCBA for review and edits.

Site Maintenance

● Program and schedule for maintenance on the building, ensure materials and supplies

are being ordered, shipped and stocked within the clinic.

● Contact any maintenance, pest control

Safety

● Ability to be trained and maintain Handle With Care Training

● Provide crisis support on site as needed.

● Provide regular HWC training for staff and new staff when hired as required by insurance

policies and company policy.

Other

● Provide periodic training on topics as determined by the Director.

● Other duties as identified and assigned by the Director or CEO.

● Work closely and collaboratively with community partners - Early Intervention, SVSU

Early Ed, Sunrise etc. - this may involve scheduling site visits, scheduling client services,

and emailing to communicate.

Minimum Qualifications/Skill Set:

● Possess excellent organizational skills: develop systems, maintain a functional work

space, provide detailed documentation and multitask several projects at once.

etc. Written products are especially important

● Accept, reflect and initiate personal change when receiving constructive feedback from

supervisors.

● Knowledge and competence of Excel, Google, Rethink and other platforms used at

Sprouts.

● Ability to problem solve collaboratively and independently when required.

● Understands the importance of diversity, equity and inclusion in the workplace and

upholds and models high standards for other employees.

● Ability to work in a fast paced environment, maintain a flexible attitude and be

instrumental in making the environment less hectic for our learners and co -workers.

● Ability to manage conflict and resolution when the need arises

Education/Experience Preferred:

Bachelor or Master’s degree preferred,

At least 2 years Experience with early intervention programs

Experience in a leadership role and supervising others

Examples of written work, preferably clinical documents related to ABA.

Physical Demands and Work Environment

Working in a center for children with disabilities may require:

● reliable attendance, ability to be at the center during client hours.

● the ability to physically lift and move 50 lbs.

● to squat, twist and turn, run, jump, play on the floor, stand for periods of time.

● be outdoors with appropriate attire.

● to talk, hear, listen, see and to interact with the children at the center.

Pay: $62,000.00 - $72,000.00 per year
