Job Description
We are seeking a dependable, organized, and detail-oriented Transportation Dispatcher to assist with daily transportation operations.
This position involves coordinating transportation services, communicating with healthcare facilities, case managers, patients, and drivers, and maintaining accurate trip records and documentation.
The ideal candidate will possess strong communication skills, practical computer proficiency, and the ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities
Coordinate and manage daily transportation schedules and driver assignments.
Communicate professionally with hospitals, healthcare facilities, case managers, patients, and drivers regarding transportation arrangements.
Contact AHCCCS and appropriate representatives to follow up on trip authorizations, including outstanding or previously completed trips.
Research and resolve transportation scheduling discrepancies and documentation issues.
Maintain accurate trip records and enter information into spreadsheets and dispatch systems.
Use Microsoft Excel for data entry, color coding, formatting, and maintaining organized, consistent spreadsheets.
Prepare, edit, and maintain documents using Microsoft Word.
Manage email correspondence, attachments, and electronic records using Gmail.
Utilize Google Maps and other mapping tools to locate addresses, verify destinations, and assist with route coordination.
Respond to schedule changes, cancellations, delays, and other transportation-related concerns.
Perform related administrative duties supporting dispatch operations.
Required Qualifications
Computer Proficiency: Strong working knowledge of Windows computers, file management, and common file formats such as PDF, JPG, and DOCX.
Microsoft Excel: Ability to perform accurate data entry and maintain professional, consistently formatted spreadsheets, including cell colors, fonts, and alignment.
Microsoft Word: Ability to create, edit, format, and save documents.
Gmail: Ability to manage email correspondence, attachments, and electronic communications independently.
Communication Skills: Strong verbal and written communication skills with professional telephone etiquette.
Organization: Excellent attention to detail, time management, and multitasking abilities.
Problem-Solving: Ability to research information, resolve discrepancies, and follow through on outstanding matters.
Ability to work independently while maintaining accuracy and professionalism.
Preferred Qualifications
Previous experience in transportation dispatching, non-emergency medical transportation (NEMT), healthcare coordination, or medical office administration.
Familiarity with AHCCCS or Medicaid transportation procedures.
Experience communicating with hospitals, case managers, and healthcare professionals.
Familiarity with Google Maps and the ability to locate unfamiliar addresses and plan routes.
